Primary Responsibilities and Duties:

Administrative Support:_
- Manage inventories required for classes.
- Manage office supplies; keep office supplies organized and stocked.
- Manage cleaning supplies for students; keep cleaning supplies organized and stocked
- Ensure OFA merchandise inventory is organized and update inventory documents after sales.
- Arrange for fire gear cleaning and inspection after each class.
- Manager records and information; organize and maintain physical and digital files.
- Work closely with the Management team in the maintenance of the College's operational facilities (coordinate maintenance staff, etc).
- Assist with the maintenance of student records / files. Ensure files are always up to date
- Create weekly student attendance sheets.
- Photocopy and prepare tests for the following day.
- Log student test marks
- Mail out certificates and perform other general mailings.
- Assist in creating student transcripts
- Assist OFA team in organizing events when required.
- Create Graduation certificates
- Maintain a complete roster of student information in accordance to their classes.
- Take payments
- Perform other duties as assigned.
Customer Service_
- Constantly strive to improve student satisfaction and the quality of student life and campus experience
- Deal with inquiries related to the day to day operations of the College from various Stakeholders
- Provide front line client services and student assistance when required.
- Handle inbound and outbound phone calls.
Essential Qualifications:

Experience:_
- Proven experience as an administrative assistant or office admin assistant, ideally within an educational or similar professional setting.
- Experience with office management systems and procedures, as well as office equipment like printers and fax machines.
Technical Skills:_
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and Google Suite.
Communication Skills:_
- Strong written and verbal communication skills.
- Ability to compose correspondence and reports, and to accurately take and deliver messages.
Organizational Skills:_
- Excellent organizational skills, with an ability to prioritize important projects.
- Strong time management skills and the ability to multitask.
Salary:
$20.00-$23.00 per hour
Expected hours: 40 per week
