The
Hotel Arts Group is currently seeking a dynamic hospitality professional to fill the role of
Event Coordinator at Hotel Arts.

The
Event Coordinator is responsible for the support of the Events department and all related departments both administratively and operationally for internal and external clients.


As an impassioned and engaged individual who is organized, detail-oriented and creative you'll be responsible for some of the following highlights:

  • Perform administrative duties to ensure the efficient operation of the Catering and Conference Services Department.
  • Assist and prepare contracts for all related Event Managers in Opera. Ensure all contracts, memos and reports are properly traced and initiate followup correspondence when necessary.
  • Maintain and monitor the daily distribution of all prepared BEOs to all related departments.
  • Prepare and distribute daily change logs to all related departments, and ensure all changes made within 24 hrs are communicated verbally to appropriate departments.
  • Ensure every week all BEOs are produced and distributed to all related departments at least five days prior to the event date. Followup with relevant Event Managers on any missing BEO within the 5day parameter.
  • Coordinate and detail all internal meetings and events, from booking in Opera to BEO creation and distribution.
  • Participate in daily, weekly and monthly departmental and salesrelated meetings, preparing agendas, summaries and minutetaking when required.
  • Working with Corporate Event Services Manager to service meetings from 1 to 20 guests.
  • All other duties and tasks set forth by the Director of Catering and Conference Services.
  • A minimum of 1 year of experience in an Events Office or a minimum of 1 year of operation experience in an Event capacity
  • Polished, energetic and pleasant demeanour
  • Excellent interpersonal and communication skills
  • Proficiency in Microsoft Office software including Word, Excel and Outlook
  • Experience in the Opera Sales and Catering/Property Management System is an asset
  • Highly organized and detailoriented
  • Ability to multitask and prioritize workload
