Job Summary;

Cove Communities is looking for a well-organized Administrative Assistant to support our Regional Vice President with daily operations and communication.

The Regional Admin position is a multifaceted, fast-paced position that involves multitasking in a professional business environment.

  • Reports to:_ Regional Vice President

Primary Duties & Responsibilities

  • Provides administrative support to Canadian communities including Calgary Village, High River & Okotoks
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Perform accounting duties such as providing AP/AR support including regular auditing of Avid and Manage America (property management system)
  • Cheque runs, printing, signing over 10k, mail to vendors
  • Assist in Avid, including coding, approving utilities and ensure charge backs are processed correctly
  • Reviews ledger for accuracy, adjusting where needed
  • Supports with managing Visa payments and the resident portal payments from residents
  • Assist with vendors on follow up with payments and invoices
  • Ensure Community Managers are on top of AR and delinquent accounts
  • Manage all files sent to the collections
  • Assist with legal files when required
  • Oversee the new leases, rules/regs with legal
  • Assist with the operation of the communities with added ongoing support (daily) and resource for the Canadian team
  • Assist with CAPEX
  • Assist with annual budgets
  • Assist with renewals and approvals
  • Assist with taxes and City of Calgary and all Utility accounts
  • Assist with biweekly payroll and timecard management.

Required Skills/Abilities:


  • 35 years of prior administrative experience required.
  • Prior experience in real estate preferred, specifically experience working with manufactured home communities or property management.
  • Strong professional interpersonal, written, and verbal communication skills.
  • Strong organizational skills.

From $60,000.00 per year
