    Donations Processing and Office ManagerUnited HatzalahUnited Hatzalah is the largest independent, non-profit, fully volunteer Emergency Medical Service organization that provides the fastest and free emergency medical first response throughout Israel.

    United Hatzalah's service is available to all people regardless of race, religion, or national origin.

    United Hatzalah has more than 7,000 volunteers in Israel, available around the clock - 24 hours a day, 7 days a week, 365 days a year.

    With the help of our unique GPS technology and our iconic 'ambucycles', our average response time is less than 3 minutes across the country and 90 seconds in metropolitan areas.

    Our mission is to arrive at the scene as soon as possible and provide the patient with professional and appropriate medical aid until an ambulance arrives, resulting in many more lives saved.​ United Hatzalah Canada's mission is to support and enhance the work of United Hatzalah.

    The PositionThis is a full-time hybrid role based in Toronto working with the United Hatzalah Canada team. This will include collecting and depositing donations, creating and maintaining accurate donor records in the CRM software (i.e. Salesforce), maintaining data integrity across the CRM, and other databases and issuing tax receipts.

    This will also include collaborating with staff across various fundraising, finance, accounting, and operations teams and various office and administrative support.


    Donation Processing:

    • Retrieve, deposit and reconcile donations from multiple donation sources (i.e. cheques, cash,
    • wires, stock transfers, credit card payment processors)
    • Maintain donor records in Salesforce and other relevant systems
    • Ensure accuracy and quality of all donor and donation records
    • Implement improvements to donations processing systems and procedures
    • Support overall fundraising objectives by creating reports and providing data insights
    • Support finance functions with reconciliation of donation receipts and revenue tracking
    • Monitor CRA compliance
    • Oversee donor acknowledgment, including preparing and generating thank you letters,
    • certificates of acknowledgement, and charitable receipts
    • Communicate with donors and fundraisers to support donation queries and issues
    • Coordinate with other departments across the international organization on donation

    reporting and trackingOffice Management:

    • Maintain office supplies
    • File important documents, such as reports, meeting notes, emails, and letters
    • Coordinate communications and collect relevant receipts for company expenses
    • Prepare bookkeeping materials and work alongside accountant (and bookkeeper, if applicable)
    • Oversee incoming and outgoing communications, including emails, phone calls, reports, and
    • internal correspondence
    • Maintain the Executive Director's calendar, including scheduling and providing daily
    • briefings
    • Attend team meetings and take meeting minutes
    • Maintain status updates using project management software
    • Act as the gatekeeper for internal and external contacts, including vendors, colleagues,
    • clients, and customers
    • Organize and maintain important information and documents physically and electronically
    • Support the planning and organizing of events and fundraisers
    • Conduct research and creating reports on various topics to support the Executive DirectorQualifications
    • Bachelor's degree with 3-5 years' work experience managing payment processing, donations processing, data entry, or similar
    • Experience with non-profit sector
    • Strong computer capabilities, including proficiency with Microsoft Office applications
    • Experience with Salesforce or similar CRM
    • Familiarity with CRA compliance
    • Excellent organizational skills and attention to detail
    • Excellent verbal, written and interpersonal skills
    • Strong critical thinking skills, ability to innovate and creatively problem solve
    • Ability to take initiative, prioritize, and multitask
    • Ability to maintain a high degree of discretion and confidentiality
