ABOUT THE OPPORTUNITY

Reporting to the Administrative Coordinator and the Director of Mental Health and Harm Reduction, the primary objective of the
Administrative Assistant is to implement, organize, and oversee the day-to-day administrative operations, assist on programs/projects, and provide clerical support to the Ministry of Mental Health and Harm Reduction.


KEY DUTIES AND RESPONSIBILITIES

  • Oversee and support daytoday operations including calendar management, travel arrangements, and answering telephone, inperson, and electronic inquiries or directing clients to appropriate individuals.
  • Develop and maintain electronic and manual filing system.
  • Process mailouts for various project work.
  • Perform a variety of administrative duties, including filing, photocopying, binding, scanning, sorting, filing, and maintaining records in a confidential manner.
  • Provide information about available programs and services.
  • Covering other admin staff during vacation or sick days.
  • Supporting coordination of suicide intervention workshops working with venue contacts, mailing training. supplies to the facilitators, giftcards/certificates coordination support.
  • Processing invoice and create Purchasing Orders and Cheque Requisition.
  • Directly communicate with MNBC Mental Health and Harm Reduction staff on all pertinent issues.
  • Establishes and maintains an effective working relationship and ongoing communications with other Ministries, community agencies and key stakeholders.

THE IDEAL CANDIDATE

  • Administrative Assistant diploma or certificate
  • Two (2) years of recent related experience in a mental health care setting or related field.
  • Combination of relevant experience, education, and training will be considered.
  • Experience in data entry and invoicing in an asset.
  • Knowledge of office management systems and procedures, including online scheduling systems.
  • Knowledge and/or awareness of the historical and contemporary contributions made by Métis people in B.C.
  • Understanding of the unique challenges Métis face accessing the healthcare system and a desire to problem solve and provide possible solutions.
  • Experience working with an Aboriginal organization/program that includes interacting and developing relationships with Aboriginal people and Aboriginal communities as well as government agencies and ministries, an asset.
  • Demonstrated ability to effectively communicate both verbally and in writing.
  • Proven ability to utilize, adapt and embrace new technologies, including Microsoft 365 and other database/software required by the role.
  • Proven ability to utilize strong interpersonal skills to deal with others effectively.
  • Proven ability to prioritize tasks, meet deadlines, and work with mínimal supervision.

OTHER COMMENTS

  • Other duties may be assigned as needed to help ensure the efficient operation of MNBC.
  • There will be a need to attend meetings and events which may require work and travel outside of normal business hours.
  • Ability to provide a satisfactory Criminal Record Check.
