Job Profile:


The Litigation Support Specialist will be responsible and accountable for providing high-level litigation preparation, analysis, and execution support on behalf of in-house counsel.

This role will be involved in a variety of litigation files, including complex claims, grievances, arbitrations, and other issues.

This includes responsibility for various litigation support and prep tasks as well as day-to-day case file management under the direction of legal counsel.


Job Responsibilities / Duties:

To work closely with in-house legal counsel to coordinate case development and in-advance preparation for litigation by:

  • Reviewing litigation files to proactively identify issues and next steps, and triaging files accordingly as appropriate;
  • Reviewing, summarizing and analyzing initiated litigation files and associated materials;
  • Conducting legal research and identifying relevant case law, precedent or policies, and presenting said findings to legal counsel in professional briefs;
  • Preparing evidence summary reports for legal counsel;
  • Coordinating production of documents including pursuing any outstanding requests for production and documents;
  • Organizing the contents of books of documents and casebooks or other litigation case materials;
  • Drafting litigation correspondence and documents such as affidavits, grievance/arbitration memos, summons to witness, witness statements, document briefs, pleadings, reports, etc.;
  • Preparing court filing documents and ensuring all appropriate litigation documents are properly filed with the relevant court or labour board in accordance with procedural and legislative requirements;
  • Conducting extensive document review and presenting your findings to legal counsel;
  • Preparing document firstdrafts in support of litigation and presenting said drafts to legal counsel for review and finalization;
  • Conducting witness interviews and witness prep in liaison with relevant Business Representatives and reporting the outcome to legal counsel;
  • Liaising between inhouse legal counsel, external parties, and relevant staff (e.g., Business Representatives);
  • Reviewing and responding to production requests;
  • Conducting proactive preparation for all organizing drives in terms of any legal filings or litigation that may arise to help better prepare legal counsel to respond urgently should the need arise.
To attend meetings, hearings, and arbitration alongside legal counsel as needed by:

  • Attending virtual meetings, hearings, arbitrations, etc. to support legal counsel in their litigation strategy and provide on demand technical support and coordination of document streaming on screen when required;
  • Attending inperson meetings, hearings, arbitrations, etc. to support legal counsel in dayof document organization and production;
  • Speaking to details of document packages or materials as deemed necessary by legal counsel;
  • Taking extensive case notes on behalf of legal counsel throughout the meeting, hearing, arbitration, etc. being attended;
  • Proactively researching on demand during meetings based on flow and direction of discussion in order to assist legal counsel in providing sophisticated responses on the fly;
  • Any other on demand activities required in support of successful litigation efforts in the course of meetings, hearings, arbitrations, etc.
To perform other related duties as required, such as:

  • maintaining a current working knowledge of all collective agreements in all areas, both past and present;
- maintaining a current working knowledge of the IUOE Local 793 By-Laws, Constitution, policies and procedures;
- receiving and drafting responses to incoming requests for information on behalf of legal counsel.


  • Other duties, when required, as may be assigned by the Business Manager, Labour Relations Manager, Legal Counsel, or Human Resources Department.

Job Requirements:


  • A formal postsecondary education in legal studies, paralegal, or similar;
  • A minimum of 35 years in a similar litigation environment;
  • An understanding of OLRB rules and procedures is preferred but not required;
  • Knowledge of the construction industry and equipment as it relates to our environment would be considered an asset;
  • Must display excellent comprehension, retention and consistent logical thought processing skills;
  • Protection of information and maintaining confidentiality is paramount;
  • Must demonstrate a high standard of professional conduct, ethics and reliability;
  • Excellent written, oral and interpersonal skills are required;
  • Strong attention to detail in a highvolume workload setting, including in drafting and proofreading;
  • Initiative to solve problems and able to work effectively under deadline situations;
  • Capable of organizing job responsibilities and prioritizing assignments;
  • Strives to grow professionally and keeps alert to current practices concerning this position;
