Catholic Family Services of Peel-Dufferin (CFSPD) is a non-profit, charitable organization reflecting the values consistent with Catholic social teachings. CFSPD is currently seeking a Receptionist will provide exceptional customer service to internal and external clients, vendors and members of the public and support the office with a variety of administrative functions.

The incumbent is also responsible for answering incoming calls and redirecting calls to appropriate personnel, booking client appointments and collecting fees.

This position reports to the Operations Manager, and will be based in Brampton, Ontario.

Responsibilities

  • Reception coverage_
  • Maintain a professional, helpful, and welcoming attitude and appearance at the reception area.
  • Welcome and support onsite visitors, by determining the nature of their business, and directing them to the appropriate staff or department.
  • Answer incoming telephone calls on the reception line, determine purpose of calls, respond or forward calls to appropriate personnel or department, and follow up as necessary.
  • Maintain tidiness of reception and waiting area, monitoring print and electronic materials for appropriate content (e.g. magazines, clips running on the TV screen etc.).
  • Assist with client fee collection and keep statistical records for the same.
  • Manage incoming mail, couriers and packages and distribute the same to appropriate staff or department.
  • Manage outgoing mail, couriers and packages from various departments.
  • Train and support volunteers in reception duties.
  • Provide reception coverage as needed at satellite office locations.
  • Administration support to clients_
  • Support clients on the phone and in person to complete the online registration process and book appointments for services at the agency
  • Notify clients regarding appointment availability, including booking appointments and cancellations when necessary
  • Provide administrative support at the weekly Connect Clinic by helping clients to complete the digital registration form, evaluations etc.
  • Administrative duties_
  • Provide additional administrative support to management, as needed
  • Perform general administrative duties to include but not limited to photocopying, scanning, faxing, mailing, ordering business cards, shredding, filing and courier.
  • Responsible for maintaining office petty cash box with supply of public transit fares.
  • Evaluation data entry, filing and generating reports.
  • Provide support at agency staff events, as required.
  • Other_
  • Participate in agency fundraising activities as deemed appropriate and necessary by the Executive team.
  • Attend required agency activities and meetings.
  • Perform other duties as assigned.

Qualifications:


  • College diploma in related discipline or equivalent experience.
  • Minimum of 1 year of reception coverage experience and office related experience
  • Strong customer service and communication skills, ability to respond tactfully with a diverse group of employees, visitors and clients.
  • Exceptional organizational skills with ability to meet deadlines and manage multiple priorities.
  • Enthusiastic, warm and friendly personality, with a demonstrated clientservice orientation.
  • Independent and selfdirected with the capability to operate with mínimal direct supervision.
  • Detail oriented with ability to check documents for accuracy.
  • Fluency in French or South Asian languages an asset
  • A satisfactory Vulnerable Sector Criminal Records check.
