The Coordinator, Events will support the process of collaborating with clients and liaising with vendors to bring event visions to life.

You will be responsible for being onsite to host the majority of our third party events as well as supporting internal events and ensuring venue rentals are executed smoothly by providing all clients with an exceptional experience at the Platform Innovation Centre.

You have experience creating efficiencies, have a zest for the finer details and relish the joy that comes from making people feel welcome.


The day-to-day activities of the Coordinator, Events will include:

  • Assist Events team with the coordination and liaison of all aspects of events and venue rentals including setup/take down, furniture moving/resetting, catering, AV, IT, wayfinding and housekeeping.
  • Support the Events team with the administration of quote development, booking confirmations and incoming inquiries.
  • Coordinate and support internal venue rental requests, including followup communication and coordination and checking on space holds to clear space
  • Setup and management of online registrations (e.x. Showpass, Eventbrite) for Platformhosted events, including summarizing and pulling data for reporting to other internal teams.
  • Coordination and support of internal event promotion materials
  • Provide an excellent client experience and exhibit a strong customer service focus when collaborating with internal and external clients.
  • Connecting inbound requests for tours to the applicable department, and conducting site visits and tours with clients and vendors accordingly.
  • Enter all events and bookings in multiple internal systems for visibility across the entire organization and to visitors of the Centre, including the internal booking system and event calendar (Nexudus), the YYC Tech Community Event Calendar, and the weekly summary for displays throughout the Innovation Centre.
  • Champion customer relationship management platform (HubSpot) and project management platform (Asana).
  • Other duties and responsibilities as needed.

- _Light furniture moving may be required._

  • 13 years of experience in a related position, recognized as a community and consensus builder, and works to create a collaborative environment
  • A diploma or certificate in hospitality, special events/event management, marketing/PR or equivalent combination of education and experience is considered an asset
  • Strong organizational skills with a keen attention to detail.
  • Courteous, warm and enthusiastic verbal and written communications.
  • Ability to thrive in a fastpaced, team environment with changing priorities and tight timelines, including managing several tasks at once.
  • Experience with Asana, HubSpot, Notion, Showpass, Eventbrite, Canva and Google Workspace is considered an asset.

Salary Range: $45,000 to $55,000
