We are currently seeking a hands-on
Office Services Lead to join our team.

Reporting to the Team Leader, Office Services, the purpose of this position is to provide exceptional customer service to internal clients, as well as participate and support in various initiatives across the firm.

This position requires flexible hours to accommodate the firm's needs.


As an Office Services Lead, you are a self-starter with a strong work ethic who consistently demonstrates excellent customer service and problem solving skills.

You are interested in project management and constantly look for ways to streamline processes and to improve efficiencies and outcomes.

You understand our business and propel the firm's culture.


Responsibilities:


  • Provide guidance to the Office Services team; including facilitation of daily operations, delegation of task and deployment of resources for Office Services; new hire orientation and training
  • Perform regular quality control audits for mail room and print room tasks to ensure Office Services correctly and consistently are following established departmental processes and best practices and that established service standards are being met at all times
  • Prepare team schedules for Office Services
  • Participate in the development and improvement of service standards, policies, practices, and objectives
  • Act as first point of escalation to inquiries or concerns from firm members regarding Office Services service offerings and makes alternative suggestions when needed
  • Ensure departmental documentation is complete, including checklists, process maps, and training materials
  • Manage daily and weekly communication between team members; this includes team huddles, weekly team meetings, and interdepartmental status updates
  • Support the Office Services Team with organizing and preparing for daily requests and ensures all tasks/project requirements are completed prior to hand off to client
  • Maintain relationships with suppliers and vendors by sourcing and recommending new offerings as needed
  • Provide Team Leader feedback on Office Services Team by supplying updates on progress and general areas of improvement
  • Provide assistance within the Office Services Team during absences and as business volume dictates, including requests after hours
  • Other duties and/or special projects as assigned

Requirements:


  • A high school diploma or higher
  • 25 years of relevant experience within a professional services environment
  • Excellent interpersonal skills are essential, including working effectively with Leadership and Staff at all levels
  • Ability to work a flexible schedule outside of standard business hours in order to accommodate business needs
  • Demonstrates flexibility, discretion and confidentiality
  • Solid written & verbal communication skills, a selfstarter with a strong work ethic, and a team player with excellent client service skills
