Description
Answers phones for CEO. Takes messages or fields/answers all routine and non-routine questions

  • Manage crossfunctional calendars with heavy calendaring for internal and external meetings
  • Organize meetings via inperson, videoconferencing, and conference calls
  • Act as the primary point of contact between the CEO, internal colleagues, department heads, senior leadership, and external customers / partners
  • Handle correspondence directed to managers
  • Work closely with the corporate travel department to organize all travel and market visits for the CEO
  • Prepare travel briefs for the CEO
  • Complete expense reports for the CEO
  • Have consistent interaction with the Senior Leadership Team (SLT) and their Executive Admins
  • Maintain highly confidential, sensitive, and nonroutine information
  • Enthusiastically liaison with and support the Product, Sales, Marketing, Finance, HR, and Global Operations teams as needed
  • As directed by the CEO, working closely with the Sales and Marketing teams, support the lead generation process and secure meetings for the CEO and key individuals of the company
  • Compile and analyze data, prepare reports, develop visual presentations, and keep internal reporting systems up to date
  • Answering general questions as needed, referring routine matters to appropriate parties and following up to ensure proper disposition
  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the CEO, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

Qualifications:


  • Associated degree or fouryear college degree preferred
  • Spanish fluency preferred. Bilingual English/French
  • 4+ years verifiable administrative support or executive assistance experience
  • Advanced MS Office experience
  • Microsoft Teams and Teamwork Platform experience a plus
  • Sales CRM Database experience a plus
  • Legally eligible to work in Canada.
  • Reliable transportation
  • Able to pass a criminal background
  • Able to lift up to 25 pounds
  • Able to stand and sit for extended periods of time

Job Types:
Full-time, Part-time, Fixed term contract

Contract length: 12 months

Part-time hours: 40 per week


Salary:
$50,000.00-$55,000.00 per year

  • Monday to Friday

Ability to commute/relocate:

  • Guelph, ON: reliably commute or plan to relocate before starting work (required)
