JOB OVERVIEW:


Reporting to the Corporate Services Supervisor, this role will support the Corporate Services department at our Corporate Head Office in Guelph.

This role will provide administrative support in the areas of travel coordination, catering, event planning, telephone system administration, reception coverage, as well as being the front-line administrative support for day-to-day inquiries from our employees.

KEY RESPONSIBILITIES:


  • Coordination of travel arrangements including the Senior Executives, determine needs of traveler (air, hotel, car rental) and provide information and guidance so that informed and costeffective travel plans are made, advise traveler of appropriate restrictions, terms and conditions of travel itinerary
  • Coordinate events/meetings including reserving conference rooms, venues, determining catering needs
  • Coordination of catering requests
  • Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate
  • Manage efficiently in a multitasked environment and ensure the needs of our customers are met
  • Provide a high level of administrative support to the Senior Executives of the Corporation (and Officers as required) ensuring quality service and professionalism
  • Reception coverage as required on an as needed basis:
  • Answering and directing high volume of incoming phone calls, monitoring call center/availability of Customer Services and Quotations, paging, greeting/signing-in guests and providing them with a security badge, maintaining the appearance of the reception area, monitoring of Boardroom schedules
  • Sort incoming and outgoing mail, (weigh and affix postage) send, receive, and sort company facsimiles for all departments
  • Light accounting functions, other clerical/general office duties as and when required
  • Other projects as assigned

QUALIFICATIONS:


  • Diploma/Degree in Business Administration, or a related field (working on / in process)
  • Strong capability in Microsoft Office software including Outlook, Word, and Excel
  • Experience with data entry with strong attention to detail
  • Friendly and approachable customer service skills
  • Excellent written and verbal communication skills

Education:
Preferred

  • Bachelor's degree or better in Business Administration or related field
