Description
Nature of the Work:
- The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in their area
Responsibilities:
- Greets students, faculty and the public efficiently and courteously;
- Distributes and dispenses information on all intercollegiate, intramural and recreational programs;
- Responds to inquiries in general, for intercollegiate, intramural and recreational programs;
- Prepares and updates schedules, game results and program announcements for intercollegiate, intramural and recreational activities;
- Updates database on coaches and players, weekly scores and upcoming games;
- Collects payments, processes deposits and handles petty cash;
- Coordinates volunteers lists for special events such as tournaments, demonstrations, etc.;
- Maintains office supply cabinet and makes purchases when necessary;
- Arranges meetings/workshops, takes minutes, and prepares and dispenses materials as required;
- Completes purchase requisitions for buses, credit card and books hotels;
- Registers athletes RSEQ S1;
- Performs data entry for the studentsathletes academic results in RSEQ S1 from Clara;
- Prepares contracts, request of payments and negotiation forms for coaches as required;
- Prepares purchases requisitions for Athletic Therapy Clinic;
- Compiles and distributes Midterm assessments;
- Prepares and distributes departmental correspondence;
- Files departmental information including correspondence, budget information and general documentation;
- May be called upon to work in other areas of the department if needed;
- Perform all other related duties.
Length of the contract:
March 2023 to August 12, 2023
Requirements:
- Qualifications:
- To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.
- Conditions:
- Excellent interpersonal and organizational skills and proven ability to work well with the public and CEGEP students;
- Ability to work efficiently as part of a team, and to work independently when needed;
- Advanced English and advanced French language skills both oral and written (testing may be required);
- Intermediate Microsoft Word, Excel and Outlook (testing may be required).
