Description

Nature of the Work:

  • The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in their area

Responsibilities:


  • Greets students, faculty and the public efficiently and courteously;
  • Distributes and dispenses information on all intercollegiate, intramural and recreational programs;
  • Responds to inquiries in general, for intercollegiate, intramural and recreational programs;
  • Prepares and updates schedules, game results and program announcements for intercollegiate, intramural and recreational activities;
  • Updates database on coaches and players, weekly scores and upcoming games;
  • Collects payments, processes deposits and handles petty cash;
  • Coordinates volunteers lists for special events such as tournaments, demonstrations, etc.;
  • Maintains office supply cabinet and makes purchases when necessary;
  • Arranges meetings/workshops, takes minutes, and prepares and dispenses materials as required;
  • Completes purchase requisitions for buses, credit card and books hotels;
  • Registers athletes RSEQ S1;
  • Performs data entry for the studentsathletes academic results in RSEQ S1 from Clara;
  • Prepares contracts, request of payments and negotiation forms for coaches as required;
  • Prepares purchases requisitions for Athletic Therapy Clinic;
  • Compiles and distributes Midterm assessments;
  • Prepares and distributes departmental correspondence;
  • Files departmental information including correspondence, budget information and general documentation;
  • May be called upon to work in other areas of the department if needed;
  • Perform all other related duties.

Length of the contract:
March 2023 to August 12, 2023


Requirements:


  • Qualifications:
  • To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.
  • Conditions:
  • Excellent interpersonal and organizational skills and proven ability to work well with the public and CEGEP students;
  • Ability to work efficiently as part of a team, and to work independently when needed;
  • Advanced English and advanced French language skills both oral and written (testing may be required);
  • Intermediate Microsoft Word, Excel and Outlook (testing may be required).
