    Administrative Clerk 7 - Calgary, AB, Canada - altafiber

    Description
    • Responsible for all monthly DOPAC beginning-to-end processing, includes updating system databases, balancing controls, interfaces, and the distribution of information. The Dopac system processes, edits and journalizes all
    • Correct all DOPAC labor errors via CORP, requires contacting field supervisors, explaining the errors and deciding a resolution
    • Maintains several daily logs of daily activity from FP07 (daily DOPAC process) for verification of input and balancing controls in OnDemand and manually
    • Prepare JRN's, (DOPAC journal entries) MAN's, (DOPAC non journalizing transactions) & ADJ's (material disbursement and retirements) as needed for via letters and documents from various departments
    • Establishing and maintaining all area codes, used by CBT to track the location of assets
    • Develop monthly exempt material, provisioning and contractor-equivalent clearing rates. Review results and variances; may require analysis and investigation
    • Beginning-to-end responsibility for all monthly processing of Outstide Plant/Continuing Property Records (OSP/CPR) system
    • Compile information for all asset accounts in order to meet the Tax Group annual reporting requirements for property taxes in all states. Requires frequent research into records to locate taxing districts for new plant and analysis out of balances conditions
    • Develop the Outside Plant Vintage Retirement Unit Costs for all outside plant assets
    • Process revisions to current work orders. Requires comparison of old work order to revised work order, posting all information onto the revision. Verify the changes are not affecting materials already processed
    • Process daily material reports from the field for outside plant material placed and removed against the work order from engineering. Verify all accounting (field codes, tax district, etc) are accurate. Investigate and resolve discrepancies by contacting supervisors and/or engineers
    • Reconcile variances and prepare journal entry for inventory adjustments based on annual Outside Plant Inventory results; Beginning-to-end responsibility for establishing and maintaining all estimates for capital and expense tracking for all CBT, CBET and certain CBTS expenditures. Reviews all estimates for accurate accounting information
    • Prepare general ledger journal entries
    • Perform monthly reconciliation of general ledger inventory accounts
    • Process daily material reports from the field for outside plant materials placed and removed against the work order from engineering, verifying each line item for accuracy. Investigate and resolve discrepancies by contacting supervisors and/or engineers
    • Prepare Damage Billing invoices, apply payments and adjustments and prepare month-end reports

    Additional Duties :

    Additional duties may include but are not limited to:

    • Supporting Real Estate staff by creating purchase orders, tracking vendor expenses, submitting request for rent payments and contacting landlords as needed
    • Support various teams by creating and distributing capital reports and other ad hoc request
    • Run, Track and distribute expense reports to managers

    Experience/Background :

    Demonstrated experience in PC skills

    • Knowledgeable of the Chart of Accounts, CBT accounts and field codes structure, CBT asset and capitalization classification policies, functional accounting, double entry accounting
    • Demonstrated experience in an office clerical job
    • Experienced with the following systems/applications as they are used constantly on a daily basis: Dopac, Excel, Access, CIW, OnDemand, Peoplesoft FRAMS, GEP, Rumba, ISO Tracker, Corp, LCAM, Great Plains, and TSO

    Prerequisities :

    • Satisfactory performance rating
    • Satisfactory attendance record in last twelve months
    • Job tasks are repeated over and over every working day
    • May be confined to work position for extended time periods
    • Shares office space with others doing similar work
    • Work may involve occasional overtime
