Coordinate project schedules, financial reconciliation, create and manage documentation, administrate project tools, liaise with internal partners, consultants and vendors, and facilitate communication among team members and partners.


  • Schedule project meetings, take minutes, and record action items and decisions.
  • Perform finance administration activities including financial analysis, recovery processing, coordinate and manage prepaid agreements.
  • Request and administrate capital budget allocation to Project ID's and action budget change requests.
  • Request new Project IDs from The City's Tangible Capital Asset team and report and update Corporate Security's tangible capital assets on behalf of the business unit.
  • Liaise with Finance to conduct capital budget transfers and reconcile financial coding errors.
  • Assist in project procurement initiatives and manage Portfolio Management Office contracts.
  • Administrate the Program and Project Management Tool (P2M) including creating new projects, assigning budget, ensure project status reports are published monthly, manage issues, onboard new staff, and project close out.
  • Manage project Microsoft Teams channels and files including access control, file management and relocation of historical information and data.
  • Track and report return on investment (ROI) initiatives.
  • Coordinate activities and deliverables for the Portfolio Management Office in support of short and longterm program plans.
  • Administrate the resource management tool, Replicon, for the Portfolio Management Office.

Qualifications

  • A completed diploma equivalent to 23 years of fulltime study in Business Administration, Project Management or a related field and at least 3 years of direct project administration experience.
  • Intermediate proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) is required.
  • Experience with Human Capital Management (HCM) and Finance and Supply Chain Management (FSCM) will be considered an asset.
  • Success in this position requires the ability to take initiative, collaborate and work effectively in both a team and individual setting, and prioritize workload based on competing priorities.
  • Welldeveloped communication and organizational skills, financial aptitude, problem solving ability, attention to detail, and the ability to multitask and manage multiple priorities.

Position Type: 1 Temporary ( up to 18 months)

  • Location: 323 7 Avenue SE
  • Compensation: Pay Grade 7 $ per hour
  • Days of Work: This position works a 5 day
work week with 1 day off in each 3 week cycle.
