The Coordinator acts as a facilitator and resource for the Director Support Services, Manager Capital Infrastructure Planning and Purchasing, and the Manager Security, Emergency Preparedness and Parking Services.

Principle responsibilities include coordinating administrative tasks for the various areas; processing and reconciling financial documentation; liaising with internal stakeholders such as Finance; liaising with external stakeholders such as contractors, suppliers, landlords, etc.; and working on special projects and other duties as assigned.

Essential attributes include excellent communication and interpersonal skills; the ability to be adaptable; and a genuine desire to improve processes and deliver superior customer service.


KEY RESPONSIBILITIES:


  • Administrative:
  • Prepare payroll
  • Input purchase requisitions
  • Reconcile invoices to ensure they are accurate
  • Schedule meetings and book rooms
  • Update Support Services information on Shoreline
  • Format presentations
  • Distribute mail and order office supplies
  • Format and send memos
  • Act as the point of contact for internal and external clients
  • Support managers as required
  • Operational Support & Project Work:
  • Assist the Capital Infrastructure team with tasks related to project coordination, contractor/vendor invoicing, internal communication related to renovation projects (service disruptions, shut downs, etc.)
  • Obtain and format data to support reporting e.g. Compliance Framework, Emergency Code Summary, ad hoc requests
  • Support process improvement e.g. document procedures, make suggestions for improvement
  • Other duties as required
  • Qualifications Required and PreferredMINIMUM QUALIFICATIONS:
  • Diploma from a recognized college in a related field e.g. Business Administration or recognized equivalent

EXPERIENCE:

  • 3+ years of relevant experience preferably in a healthcare environment

KNOWLEDGE and ATTRIBUTES:

  • Advanced computer skills with knowledge of Microsoft Office programs (Word, Excel, PowerPoint, etc.)
  • Demonstrated aptitude in utilizing computer systems and interest in continuous learning
  • Knowledge of hospital operations and ability to build strong partnerships across the hospital
  • Working knowledge of Meditech, our electronic medical record, an asset
  • Knowledge of office management systems and office equipment
  • Knowledge of basic accounting principles
