We are looking for a Maintenance Inventory Administrator to join our team in Utopia, ON.

The Maintenance Inventory Administrator is responsible for providing administration support to the Maintenance department, monitoring inventory levels and connecting with suppliers as required.

This position will conduct physical inventory counts and compare the results to inventory records for verification, ensuring proper investigation and documentation of any inventory discrepancies.

This role also prepares and processes requisition orders to replenish inventory as required. The Maintenance Inventory Administrator must be highly organized and able to work with mínimal supervision.

Duties & Responsibilities

Maintain and complete inventory cycle counts per rack each day and update Maintenance software of any changes.
Investigate and update quantity variances in the system.
Follow up with security gatehouse regarding stock replacement orders that were delivered at gatehouse storage room.
Verify quantities on packing slips and receive inventory.
Review quantity in actual location if putting away for stock replacement and update accordingly.
Deliver items to appropriate departments as ordered and advise the lead hand or associate who requested it.
Contact supplier/vendor if missing packing slip, packages, or any discrepancy with orders.
Prepare inventory count sheets and distribute among the trades staff for yearend inventory counts for all departments.
Prepare parts such as, motors, cylinders, pumps to go out for repairs.
Arrange with vendor prior to shipping defective parts.
Complete waybills
Review Requisitions on system for parts for stock replacement or required parts to complete work orders.
Request quotes as needed to generate purchase orders to complete requisition.
Follow up with vendors for back orders exceeding 2 weeks to one month from promise date.
Review purchase order and invoice variances with Accounts Payable if needed.
Post purchase order and release to vendors after receiving approvals.
Send approval to proceed with order to vendors to complete the ordering process.
Generate Asset numbers for new equipment and update system with all pertinent information for our records.
Working with millwrights and electricians to organize storage rooms to be more efficient and accessible.

Skills, Education & Experience

High school diploma or an acceptable combination of education and experience.
3+ years of direct work experience in a manufacturing environment.
Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
Superior telephone manners and strong interpersonal skills.
Strong written and verbal skills to communicate with all levels of the organization
Strong customer service skills.
