Summary of Duties:


  • Provides administrative support to all members of the Palliative Care Consult Team (PCCT)
  • Responds to enquiries/requests for information from a wide range of staff, students, patients/families and external organizations; refers patient/family concerns to appropriate team members
  • Provides administrative support for the preparation of abstracts, publications and presentations
  • Drafts and prepares correspondence, reports, agendas and meeting minutes; attends all requested meetings books rooms set up video conferences
  • Maintains vacation and oncall schedule for PCCT updates smart web paging system
  • Maintains tracking system for individual workload of team members; maintains monthly billing; updates database with relevant patient information and physician billing daily
  • Maintain condolence list update and distribute biweekly mail cards to family members
  • Organize maintenance/environmental/ IT requests
  • Fax referrals and prescriptions scan documents
  • Coordinates PCCT meetings, events, conferences and travel
  • Facilitates clinic appointments for Palliative Care Clinic and referral to other clinics; facilitates completion of appropriate forms and prints clinic schedules daily
  • Maintains education calendar coordinates resident electives set up education modules primary contact for residents
  • Relays messages, update & restock forms orders supplies and equipment, sorts and distributes mail/faxes

Qualifications/Skills:


  • Completion of a Community College Office Administration program or equivalent required
  • 3 years relevant experience required
  • Proven excellent Microsoft Office skills required including Word, Excel, PowerPoint and Access
  • Accurate keyboarding (minimum net speed of 50wpm)
  • Demonstrated excellent written and oral communication skills, with proficiency in English grammar and comprehension
  • Ability to effectively problem solve and work independently
  • Good interpersonal, team and conflict resolution skills
  • Ability to work on and prioritize several projects at the same time; attentive to quality and timelines
