  • Job Summary:

    The Corporate Operations & Strategy division serves as a central hub for strategic planning, interactions with key stakeholders and maintains the integrity of our brand and reputation and manages the activities and processes that help maintain and effectively operate our workspaces to ensure a safe and comfortable environment. The Coporate Services department delivers solutions that support operational strategies and supports the organization through planning, issues management and communications.

    Within this framework, the Business Continuity Management team holds the responsibility for developing, implementing, and maintaining robust strategies to ensure the organization's resilience in times of crises and disruptions. This entails tasks such as Risk Assessment and Mitigation, Business Continuity Planning, Crisis Response and Management, and ensuring alignment with Business Continuity standards. Collaboration both internally and externally is integral to enhancing overall resilience and response capabilities.

    The Senior Advisor Business Continuity and Crisis Management role requires professional expertise in project management, problem analysis, and resolution pertaining to Business Continuity, Disaster Recovery, and Crisis Management. The incumbent drives the planning and implementation of actionable business continuity plans through proactive processes, advises on best practices and policy requirements, and fosters effective planning aligned with business needs. Additionally, they oversee the development of training and awareness initiatives while ensuring appropriate governance oversight. Their support and coordination activities during major events enable effective business response.

    Candidates for this role should possess extensive Business Continuity experience, backed by practical insights and educational certifications. Collaboration with internal and external stakeholders, effective communication, and a proactive approach are crucial for safeguarding HOOPP's assets, people, and processes.

    What you will do:

    The successful incumbent will be responsible to ensure effective adherence to company BCM policies, standards, and procedures, advising on improvements as needed. Additionally, the position entails developing and presenting various deliverables and solutions addressing HOOPP's BCM needs, such as reports, presentations, and crisis management plans. This includes leading the preparation of governance and ongoing reporting on BCP program status, overseeing BCM Exercises, and ensuring program visibility through project plans and meetings coordination. Furthermore, the role involves technology procurement and maintenance to support the BCM Program, identifying strategic improvement opportunities, and participating in projects to meet BCM strategic objectives. Analyzing Audit and After Action Reports, developing key performance indicators, and assessing program effectiveness are also key responsibilities. Collaboration with business units and IT teams, facilitating lessons learned meetings, and working on DR capabilities and risk assessments are integral parts of the role. Finally, ensuring communication and awareness for the BCM program, including annual training and awareness plans, completes the scope of responsibilities. The details of the responsibilities are included below:

  • Ensure effective adherence to company BCM policies, standards, and procedures, and provide advice on best-in-class fit-for-purpose improvements to policies, standards, and procedures.
  • Develop and present a wide range of related deliverables and solutions to address HOOPP's BCM needs, including reports, presentations, governance documents, crisis management plans, business continuity plans, exercises, simulations, training, and awareness activities
  • Lead the preparation of governance and ongoing reporting on BCP program status, Operational Resilience, Crisis events, trainings, tests, and other BCP DR elements
  • Develop Exercise requirements aligned to BCM Policies and Standards, and plan, oversee and report on BCM Exercises call tree, tabletop, and process recovery tests).
  • Ensure the visibility of program effectiveness through the development of project plans, tracking project status, and coordinate meetings, developing high-quality written documents that will enable and understanding HOOPP's BCM needs and assist to develop effective solutions to address the risks
  • Create,maintain or procure technologies needed to support the BCM Program mass notification tool etc.) improving processes and implementing new workflow as required.
  • Identify opportunities for strategic and continuous improvement or mitigation activities
  • Participate in or manage various projects or ad-hoc duties to meet BCM strategic objectives.
  • Analyze Audit and After Action Reports to assess opportunities for improvements, present key findings to internal/external stakeholders and coordinate and management action plans and stakeholder management activities.Develop and leverage key performance indicators to measure program performance.
  • Works with and influences business units and IT to support the development and sustainment of processes related to BCM such as crisis management and communications / evacuation procedures
  • Assesses the effectiveness of program aligned to the Policy and Standards, develops plans to close gaps and improve alignment with industry best practices, and performs maturity assessment and reports on program maturity to Senior Management.
  • Provides 24/7 standby coverage (as required) during a potential or actual disruption, working with divisions to support their plans, or taking actions as necessary, sharing information with division leads as required etc.
  • Facilitates lessons learned meetings after all events and engages Risk Division and provides them required documentation regarding all Operational Events.
  • Works collaboratively with DR Program Lead(s) and team members to support the development of DR capabilities aligned to business requirements and improve existing processes.
  • Works with divisionsto identify new threats and assess risk based on current controls
  • Completes annual program signoff, validating to Program Sponsor results of all cyclical activities.
  • Creates and maintains communication and awareness for the BCM program including developing Annual Training and Awareness Plan with new initiatives, creating collateral, and align activities support the implementation of the Annual Training and Awareness Plan

  • Demonstrated expertise in program planning, management, and reporting, enabling the successful execution of high-profile and cyclical activities to drive strategic change.
  • Skilled facilitator capable of creating and delivering program information to staff at all organizational levels.
  • Effective communication with senior leaders across the organization, facilitating alignment and understanding of BCM initiatives.
  • Robust business continuity planning and analysis skills, essential for identifying and addressing potential disruptions effectively.
  • Strong analytical, organizational, and decision-making capabilities, vital for navigating complex BCM challenges.
  • Excellent verbal and written communication skills, enabling efficient coordination and collaboration across all organizational levels.
  • Proficient administrative skills, adept at task development and resource management to meet target deadlines.
  • Ability to articulate BCM concepts, practices, and plans to diverse business areas, fostering understanding and alignment.
  • Proficiency in PC skills including Microsoft Office Suite, SharePoint, and other relevant tools such as Word, Excel, PowerPoint, Visio, and Project.
  • Business Management Degree/ field related degree or equivalent work experience.
  • 4-7 years' experience in Business Continuity, Crisis Management or Emergency Management
  • Professional designation in Business Continuity Management (CBCP, ABCP) and working knowledge or education of Incident Command Systems (ICS or IMS).
