PORTFOLIO ASSISTANT

CONTRIBUTING TO THE CMPA


The Investments department is responsible for optimizing the return on investment of the CMPA's Reserve for Claims, within the parameters set out in the Statement of Investment Policies & Goals.

The CMPA's investment portfolio is a key component in supporting the CMPA's long-term sustainability. The department's core activities include oversight and management of the investment portfolio, supported by market research and analysis.

The department provides strategic guidance and tactical support to senior management and Council in the areas of selection of asset classes, asset-liability modelling, identification and management of financial risk, design and implementation of the investment portfolio, and reporting on investment performance.


POSITION OVERVIEW
Reporting to the Lead, Investment Administrative Services, the Portfolio Assistant provides administrative support to the Investments Department.

The incumbent will be primarily responsible for supporting the front office team but will also lend occasional support to the Performance and Risk team within the Investments Department as well as the Portfolio Accounting team within the Finance Department.

This support includes the management and maintenance of current electronic and hard copy filing systems, scanning, copying, and general administrative duties as well as travel arrangements for team members.


POSITION ACTIVITIES

Portfolio Administration Support 40%

  • Assists the team in preparing subscription agreements
  • Responds to third party requests to update tax forms by preparing the forms and sending them to relevant parties
  • When required, coordinates with Notaries and authorized signatories for the timely certification of supporting sensitive documents, signatures, and identification
  • Maintains a central filing system for the department, including the coordination of retention for files such as investment management agreements, prospects, and subscription agreements
  • Adds capital calls and distributions to custodian system, tracks and obtains approvals within the allotted timeframe while also filing in a timely manner.
  • Obtains necessary approvals and processes service provider and manager invoices in Workday

General Administrative Support 40%

  • Maintains the electronic filing systems and structures within the document management system, client relationship management system, and shared folders.
  • Arranges travel and meeting requirements
  • Scans, shreds, and maintains hard and/or soft copies of documents per retention rules
  • Prepares or edits letters, memos, and spreadsheets using MS-Word and Excel and distributes to the appropriate users

Other 20%

  • Assists in the coordination of the quarterly Investment Committee meetings
  • Participates in quality assurance and system improvement testing
  • Assists with the organization and minute taking of team meetings and events
  • Prepares for and assists new employees to the Department
  • Acts as backup support to the Portfolio Assistant and Lead, Investment Administrative Services

EDUCATION AND EXPERIENCE

  • Minimum of 4years related experience preferably in the brokerage, banking, or investmentrelated industry
  • Completion of a College Diploma, certificate, or CÉGEP (23 years). In lieu of education requirement being met, 6years related work experience
  • Understanding of banking or investment industries, related processes and workflows
  • Experience booking travel and managing complex calendars
  • Experience with invoices, expense claims, and budgets
  • Experience taking meeting minutes

  • Ability to work with Excel and MS Word
  • Ability to draft correspondence and presentations and perform data entry and calculations with a high degree of accuracy
  • Ability to take meeting minutes
  • Ability to handle confidential information with discretion and diplomacy
  • Excellent written and verbal skills in English

POSTING DETAILS

  • Job type: Term 21 month (Maternity Leave)
  • Salary range: $56,700 $75,800 this role is classified as level
    Location: Fully Remote Job. You can work from a homebased office anywhere in the provinces of Ontario and Québec.
