GoHighLevel Automation Build — Retreat Funnel (6 Workflows + Zapier Integrations)Job Description
We need an experienced GoHighLevel specialist to build out a complete automation system for a retreat registration funnel.
Everything is documented in a detailed blueprint — you'll be working from a comprehensive document that specifies every workflow, trigger, action, wait step, conditional branch, email, SMS message, pipeline stage, and tag.
Important:
The forms, landing page, registration pages, and email templates are already built or will be built by us. You are building the back-end automations, pipeline, tags, and integrations only.
What you'll build:
In GoHighLevel:
1 pipeline with 10 stages (all stages documented)
13+ tags (all named and defined in the blueprint)
6 workflows with full logic including:
Form submission triggers
Tag-based If/Else conditional branches
Wait steps (24 hours, 48 hours, 3 days, 5 days, 7 days, 14 days)
Tag additions/removals
Pipeline stage updates
Date-based conditional (before/after April 1, 2026)
Internal team notification emails
5 SMS/WhatsApp messages configured within workflows (copy provided)
Connect our pre-built email templates to the correct workflow actions
Zapier Integrations:
ThriveCart → GHL (via Zapier): When a ThriveCart purchase completes, Zapier adds the appropriate tags in GHL (registered, room type, alumni status) and updates custom fields
Details:
One ThriveCart product with an order bump (single room upgrade) and an alumni coupon code
Zapier needs to detect:
order bump purchased (yes/no), coupon code used (yes/no), payment amount, payment plan (yes/no)
Tags and custom fields to update are fully documented
GHL → Airtable (via Zapier): When key tags are added in GHL, Zapier creates or updates records in an existing Airtable base.
Five trigger points documented (application submitted, accepted, declined, registered, 90-day challenge eligible).Testing:
Run a test contact through the full journey — lead capture → application → acceptance → registration — and verify all automations, tags, pipeline updates, Zapier integrations, and Airtable syncs fire correctly.

Landing page (hosted on Netlify)
Lead capture form (GHL form with custom CSS)
Full application form (GHL form with custom CSS)
Thank-you page (Kajabi)
ThriveCart product, order bump, and checkout pages
Email templates in GHL (we build these for brand consistency — you connect them to workflows)
What we provide:
Complete automation blueprint (Word document — every workflow, trigger, action, and condition specified)
All email copy — written and ready (we paste into GHL email templates)
All 5 SMS message texts — ready to paste into workflows
Branded email header image
Access to GHL sub-account, Zapier account, ThriveCart, and Airtable base
GHL form IDs for the two existing forms
Requirements:
Proven GoHighLevel experience with workflow automation (please share examples)
Comfortable with If/Else conditional logic, tag-based branching, and wait steps
Experience with Zapier integrations (ThriveCart → GHL and GHL → Airtable)
Attention to detail — the blueprint is very specific and we want it implemented accurately
Ability to test all automations and confirm they work before handoff
Deliverables:
All workflows built (in draft/test mode for our review before publishing)
Pipeline and tags configured
Zapier zaps configured and tested (ThriveCart → GHL, GHL → Airtable)
Email templates connected to workflow actions
Brief walkthrough video (Loom or similar) showing what was built
Timeline: 3–5 business days
Budget:
Fixed price — please quote based on the scope above.
This is a well-documented, clearly scoped project with no guesswork. We're looking for someone who can execute efficiently from a detailed brief.
Contract duration of 1 to 3 months.
