The Accounts Receivable Coordinator is responsible for monitoring, auditing and processing all financial transactions, including payments, related to the resort's conference guests.

The incumbent to this role is the main point of contact for all Accounts Receivables processes between Blue Mountain Resorts and its corporate clients.

This position acts as the financial support for the Sales and Conference Services departments.


WHAT WILL I BE DOING?

Invoicing

  • Prepares preliminary invoices for corporate clients in advance of their arrival and distributes to Conference Services and Front Desk departments.
  • Finalize invoices for all Group departures; reconciles and contacts client for final payment.
  • Follows up on unpaid invoices, submits documents to collections when needed.
  • Responds to guest requests for backup documentation, disputed charges and/or general inquiries.
  • In conjunction with the Sales Managers and the Conference Event Managers, facilitates payments, creates budgets and/or resolves issues that may affect the final invoice.

3rd Party Booking Accounts

  • Bills Wholesale organizations i.e. Expedia according to their policies/procedures.
  • Posts Travel Agent Commission on a daily basis and follows up on all commission inquiries.

General Accounting

  • Processes deposits made via credit card, cheque and/or wire transfer; receives amounts into Cenium and notifies the Sales Agent and/or Conference Events Manager when the deposit has been processed.
  • Reviews aged receivables; contacts those who have past due accounts.
  • Posts internal gratuities & 3rd Party Revenue to accounting system; Prepares group commissions; provides accruals for outstanding items to Accountant for month end.
  • Month End procedures to be completed while working alongside the Finance team to meet given deadlines.

WHAT DO WE NEED FROM YOU?

  • High School diploma or equivalent; College courses in accounting/finance are considered an asset.
  • Previous experience preparing financial reports is preferred. Previous experience within an accounting department is a definite asset.
  • Must have excellent verbal and written communication skills and maintain a professional approach at all times.
  • Must have several years of previous customer service experience.
  • Must be experienced with computers; must have working knowledge of Excel, Point of Sale (POS) systems and/or hotel reservations systems.
