Your opportunity:


Under the general direction of the Chair, and reporting to the Department Manager, the incumbent is responsible for the efficient operation of the Chair's office and providing a wide range of support for the Chair and Department Manager.


Your responsibilities will include:


  • Implementing plans and process improvements for academic search activities
  • Writing routine documents and correspondence
  • Collecting documentation required to carry out the tenure and review processes from senior leadership
  • Collecting feedback from PTR committee members
  • Determining logístical details and activities for events and/or programming
  • Maintaining senior staff calendars
  • Handling sensitive and/or confidential information

Essential Qualifications:


  • Advanced College Diploma (3 years) in Humanities or acceptable equivalent combination of education and experience
  • Minimum three years of recent and relevant experience providing senior administrative/executive support, administration of academic guidelines and procedures, and coordination of functions in a University academic setting
  • Demonstrated experience providing academic support with academic searches, tenures, probation review, promotions, threeyear reviews, annual PTR preparation and other related processes
  • Experience providing seniorlevel administrative support including administering a busy calendar, preparing and monitoring schedules and keeping participants up to date with upcoming events and deadlines, and managing logistics of organizing meetings and events
  • Superior writing skills and experience drafting, editing and preparing a variety of written documentation and communications, including the ability to concisely summarize information and prepare original correspondence
  • Extensive experience taking minutes efficiently, recording action items in meetings, and coordinating followup items
  • Advanced experience using O365 suite such as Word, Excel, PowerPoint, OneDrive, SharePoint
  • Experience using SuccessFactors, or a similar applicant tracking system
  • Thorough knowledge of university procedures and policies including a demonstrated knowledge of University collective agreements, specifically UTFA, CUPE 3902 Units 1 and
  • Extensive experience creating, organizing and maintaining electronic and paper filing systems
  • Ability to multitask and deal with competing deadlines effectively and deliver results with precision and initiative
  • Strong time management and problem solving skills
  • Professional demeanor with a strong customer service orientation and effective interpersonal skills to effectively deal with students, staff and faculty

  • Knowledge of the University structure and senior administration
  • Working knowledge of U of T's FIS/HRIS and uSource
