OPERATIONS ADVISOR

FACULTY OF ARTS AND SCIENCES


NorQuesters are difference makers and we're looking for someone to support the Faculty of Arts and Sciences with operational, administrative, and financial activities as an Operations Advisor.


Reporting to the Manager, Business Operations, as an Operations Advisor you will support the Faculty with onboarding new team members, support resource management, coordinate administrative tasks, and collaborate with areas across the College to ensure successful onboarding and timely and accurate financial reporting.

You will manage the tracking of staff changes, lead procurement activities, and fulfil faculty supplies and services requirements.


HOW YOU'LL MAKE A DIFFERENCE

  • Lead divisional procurement and requisition processes, review purchases for account accuracy, and provide update to date assessments on available funding and departmental needs.
  • Review expense reports and procurement card reconciliations for completeness and accuracy prior to submitting them for approval to appropriate expenditure officer.
  • Work closely with Accounts Payable or Account Receivable to make requests for payments or invoices.
  • Run queries, financial reports, and extract data from Power BI dashboards to provide up to date reporting on financial situation and performance.
  • Coordinate divisional Extension Assignments, Continuing Education, Service, and Fee for Service (Dual Credit) agreements.
  • Support the onboarding of new faculty staff members including completing commencement documents for Human Resources, coordinating workstation setups, and completing PeopleSoft and SharePoint access documents.
  • Lead staff resource management to ensure programs are adequately staffed to carry out Instructional requirements including maintaining and updating staffing Inventories and tracking staffing changes.
  • Assist the Divisional Coordinator with facilitating different collegewide events including Open House, Convocation, Teaching & Learning Day, Start of Term planning group, and Student app/portal administration.

WHAT YOU BRING

  • 2 year diploma in a related field (Administration, Business Administration, Finance, Commerce).
  • 3+ years experience in administrative, financial reconciliation, or purchasing, ideally in a public administration or postsecondary setting.
  • Experience with onboarding new hires would be an asset.
  • Comfort with the Microsoft Office suite of products including Teams, Teams apps, SharePoint, and Outlook.

SALARY:
$48,403 - $62,910 reflective upon what you bring AKA your education and experience. This is a full-time permanent position with immediate access to our great pension and benefit programs.
