Job Summary


A Brief Overview

The Housing and Ancillary Services team manages 4,940 student beds in 18 residence buildings, as well as off-campus rental apartment and housing properties, three dining halls, numerous retail foodservice locations on campus, the Donald Gordon Hotel and Conference Centre, and Event Services.

Residence buildings also provide temporary accommodations for the summer conference, events and tourism markets. Revenue and services from these units support vital student life programs and contribute to the University's learning environment.


The OCLA Support Coordinator is required to demonstrate an exceptional level of collaboration and communication skills, while coordinating multiple projects in addition to assisting to triage a high-volume of daily student inquiries.

As part of the Community Housing Department, this position works in the Off-Campus Living Advisor's office to assist students on evaluating off-campus housing, tenant rights and responsibilities, and resources for moving in/out.

This position is responsible for office operations, and supporting housing resource development, marketing, social media, website content, event planning, and liaising between other departments and local landlords to effectively bring housing resources to students.

Some evenings and weekends are required during peak seasons

This position provides operational support for the functioning of the location or department. This position acts as a first point of contact, and responds or escalates inquiries.

This position provides administrative support to senior staff including preparing correspondence, scheduling appointments, coordinating meetings, recordkeeping, onboarding new employees, and administering special procedures within the department.

This position also performs accounting and bookkeeping duties including budgets, reports, invoice processing, reconciliations, casual payroll/timekeeping, and payment card administration.

The schedule for this position requires the incumbent to work evenings and weekends.


Job Description:


What you will do

  • Acts as a first point of contact for the location or department, and responds or escalates inquiries.
  • Provides administrative support to senior staff including preparing correspondence, scheduling appointments, coordinating meetings, recordkeeping, updating databases, onboarding new employees, and administering special procedures within the department.
  • Performs accounting and bookkeeping duties including budgets, reports, invoices, reconciliations, casual payroll/timekeeping, and payment card administration.
  • Maintains records of all workstation equipment, and orders replacements as needed.
  • Reviews content of mass solicitations for compliance to standards.
  • Updates department website content for annual appeals.
  • Coordinates workflow and provides input to casual staff.
  • Administers the shared drives.
  • Other duties as required in support of the department and/or unit.

Required Education

  • Threeyear Community College Diploma or Three-Year Bachelor Degree, or equivalent.
- in communications preferred. or
- in office administration preferred.


Required Experience

  • More than 2 years and up to and including 3 years of experience.
  • Experience developing and managing marketing plans considered an asset.
  • Experience developing, coordinating and producing promotional and marketing material considered an asset.
  • Experience in graphic design and production with a familiarity of graphic/multimedia design tools and technologies considered an asset (e.g., Photoshop, Illustrator, Flash, ProTools, AfterEffects, etc.).
  • Experience in web design and website content development and management tools considered an asset (e.g., DreamWeaver, FrontPage, etc.).
  • Knowledge of relevant laws, regulations, policies, standards and/or guidelines considered an asset.

Required Licenses and Certifications

  • Satisfactory Criminal Records Check required.
  • Vulnerable Sector Screening required.
  • G Driver's Licence required.
Consideration may be given to an equivalent combination of education and experience.
