- Course Administration and Support:
- Provide project management support for multiple courses to the Innovation team to ensure the timeline, project progress and logistical details are coordinated in the most efficient and effective manner for each course while ensuring accurate and consistent information is being provided to internal and external stakeholders
- Follow up with subject matter experts to schedule and track content development/delivery based on the curriculum planned by the planning committee
- Communicate with subject matter experts regarding paper work, payment, etc.
- Prepare information with education consultant for course webpage, flyer and brochure
- Book facilities, request equipment and resources, as well as prepare supplies through relevant systems
- Maintain routine communications with course participants such as general inquiries, session reminder, survey/evaluation reminder, follow-up, etc.
- Under guidance from Educational Consultant, Innovation and CME Leadership:
- Be familiar with CME/PD frameworks, policies and requirements related to accredited CME/PD activities as developed by College of Family Physicians of Canada, Royal College of Physicians and Surgeons of Canada, Canadian Medical Association and other related health professional organizations.
- Work collaboratively with Educational Consultants and CME team ensuring program implementation reflects program design
- Provide in-house expertise for e-learning activities in the CME Office including webinars, webcasts, discussion boards, podcasts, vodcasts, online courses and applications for mobile devices that might be developed in conjunction with a CME activity
- Ensure quality of courses and foster scholarship in CME & PD:
- Build online surveys following planning committee decision on the questionnaires and compile survey responses for needs assessment, course evaluation, follow-up reflective activity, etc.
- Debrief with other members of innovation portfolio and the team of CME&PD Office to suggest & implement strategies to improve CME/PD courses
- Financial:
- Monitor course budgets
- Track and ensure payments are processed for travel, accommodation, teaching services and event services
- Work with other members of the Innovation portfolio to plan course registration, work with registration staff to establish course registration, ensure registration, exhibitor and expense payments are processed
- Advisor / Leadership:
- Represent Continuing Medical Education in a professional and competent manner
- Responsive and innovative troubleshooting regarding changes and problems as they arise; involving appropriate stakeholders
- May work with and oversee various support staff such as set-up, catering and clerical staff to ensure the various course needs are met; delegate work when necessary
- Communications:
- Intermediate to advanced relationship management skills with critical program and regulatory stakeholders ensuring effective program development and delivery
- Effective, timely and professional communication with various stakeholders
- Respond to course participants' general inquiries and handle routine communication
- Post-secondary degree required, preferably in health professions/education/adult learning/project management related areas
- A minimum of 3 years of recent related experience
- Demonstrated exceptional organizational, project management and time management skills
- Experience with learning technologies and learning management system (LMS) required
- Excellent interpersonal skills displaying professionalism, tact and diplomacy to handle complex, multi-stakeholder projects, including university departments and faculty members, external organizations as well as health professional learners
- Attention to detail
- Advanced knowledge of Microsoft Office (Word, PowerPoint and Excel)
- Intermediate to advanced skills in e-learning and learner engagement tools, etc., such as LearnDash, Mentimeter, Qualtrics
- Knowledge of learning management system (LMS), an asset
- Knowledge of University on-line systems such as PeopleSoft as well as other University systems and procedures would be an asset
- Able to work independently as well as collaboratively

The Office of Continuing Medical Education in the Cumming School of Medicine invites applications for a Education Coordinator, CME Innovation. This Full-time Fixed Limited Term position is for approximately 10 months (based on length of grant funding), with the possibility of extension.
The Continuing Medical Education & Professional Development (CME & PD) Office's mission is to provide and coordinate integrated academic educational and assessment activities and resources that promote lifelong learning for health care professionals for excellence in clinical practice focused on improving health outcomes. Activities include a broad range of evidence-based learning opportunities to physicians, other health professionals and the public, in a variety of formats including face to face, online and blended learning.[See ]
The position of Education Coordinator reports to the Manager, CME & PD.
The normal shift for this position is 7 hours per day, five days per week (1.0 FTE), usually Monday to Friday. However, this position will experience peak periods that may require staggered starts to the workday and flexibility to work evenings and occasional weekends.
As a key member of the Innovation Portfolio at the CME&PD Office, the incumbent will perform a variety of project management and coordination duties in support of the successful development and implementation of quality online and blended CME/CPD programs, as well as the on-going daily operations of the Innovation Portfolio. Under minimal supervision, the Education Coordinator provides information and appropriate communications with program planning committees, subject matter experts and participants regarding the educational programs and services. This position provides critical project management and logistical support to ensure quality teaching and learning experiences in innovative CME/CPD programs.
