  • We are currently recruiting for a fulltime Executive Assistant, reporting to the CEO. _

JOB SUMMARY:

This position provides professional administrative support to the CEO and for the day-to-day business
operations of the organization in the areas of communications, fund development, board administration
and quality improvement functions. The Executive Assistant also provides administrative support to the
management team as needed, and in particular assists with Human Resources projects such as
coordinating employee orientation and employee surveys.


QUALIFICATIONS:

Post-secondary education in Business /Office Administration or related field, with three (3) years
providing support in a senior administrative role. Certified Administration Professional (CAP) is an asset.

relationships with stakeholders, staff, board members, external and community partners.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly
with excellent attention to detail.

  • Demonstrated ability to problem solve and manage multiple priorities simultaneously.
  • Demonstrated ability to handle confidential and sensitive information with a high degree of
discretion.

  • Ability to react with appropriate levels of urgency to situations and events that require quick
response or turnaround.

  • Ability to work collaboratively with crossfunctional teams.
  • Demonstrated ability to work independently, taking initiative, making sound decisions, and
being accountable for results.

  • Excellent written communication, including the ability to prepare reports and respond
professionally to inquiries.

  • Expert proficiency in MS Office Suite (Outlook, Word, Excel, and Power Point); with knowledge
of using video conferencing software, such as MS Teams.

  • Demonstrated knowledge of Adobe Acrobat, Adobe InDesign, Social Media platforms with an
ability to design and edit graphic presentations and materials.

  • Successful completion of a Criminal Records Check

RESPONSIBILITIES:


  • Facilitate, coordinate, edit, write, design, and distribute documents including annual
reports, manuals, letters, newsletters, brochures and funding and grant proposals.


  • Support fund development projects including preparation of communications materials.
  • Maintain the agency website ensuring it remains current and post information and news
articles. Maintain and grow the agency's social media presence.


  • Support the CEO in providing administrative, clerical and communication functions for the
Board as well as compiling and distributing board packages, Societies Act filing, preparation
for the AGM, and Board and committee meeting clerical support.


  • Gather, collate and distribute a variety of reports, such as quarterly and annual reports, that
support the business functions of the organization for review by the CEO and management
team.


  • Support Human Resources department activities, such as coordination of Orientation
sessions, employee survey administration and reporting, ensuring policies and procedures
are updated; assist with communication of new policies and procedures, etc.


  • Provide administrative support on quality assurance including outcomes management,
agency reports, and quality practice. Facilitate the ongoing implementation of CARF
accreditation standards.


  • Develop and maintain an online filing information management system.
  • Determine and establish office procedures, greet visitors; maintain office areas, order office
supplies and maintain inventory.


  • Work in compliance with the policies and procedures of Fraserside Community Services
Society as well as program procedures and regulations.
