POSITION FUNCTION:
Performs regular circulation duties including charging and discharging of materials; placing holds on materials; renewal of materials; and tracing missing books.
During evening and weekend shifts, serves as the sole circulation desk attendant and is responsible for all issues related to library user service, the coordination of student assistant activities, and emergencies.
WORKING RELATIONSHIPS:
Interacts with staff in the Law Library, other library branches and units, faculty, students, members of the public, and administrators in the Allard School of Law.
DUTIES:
- Works at the circulation desk as scheduled, including evenings and weekends. Charges, discharges and renews materials. Checks returned materials for holds, damage, and completeness. Places holds, recalls, and storage requests.
- Responsible for opening or closing routines as assigned. Monitors library security gates. Receives, reports, and responds to information relating to thefts and other incidents. Contacts Building Operations, Campus Security and/or, RCMP for emergency safety, security, and health issues. Contacts Building Operations for routine maintenance/repairs, and keeps a log of repair requests.
- Interprets patron and circulation records. Accepts and responds to queries on library policies and procedures, including, overdue fines. Explains and enforces library policies and procedures.
- Answers directional and information questions regarding library holdings. Demonstrates how to navigate UBC Library catalogue and website. Directs patrons to known resources and refers queries when necessary. Responds to and assists with accessibility needs of library users. Provides reception services.
- Assists with the general organization of the collection including shifting materials to accommodate growth and planned moves of library materials. Prepares for planned moves by measuring the linear footage of existing collection. Edits online records related to book moves, to ensure the correct status, material code, location, etc.
- Clears, collects, sorts, shelves, shelf-reads, moves, straightens, and unloads library materials. Dusts and vacuums books and shelves.
- Files updates to looseleaf services and other supplemental materials. Discards superseded materials.
- Cleans computer screens and peripherals, laptops, microform equipment, labelling equipment, etc.
- Performs basic troubleshooting on all Law Library equipment including copiers, printers, computers, micro reader/printer, and staplers. Stocks, cleans, and provides operational assistance on this equipment. Reports problems, orders supplies, and arranges for equipment repairs.
- Troubleshoots computer hardware and software problems, printer and other systems-related problems, and communications network problems. Refers unsolved problems to the Library's systems helpdesk and follows up to ensure staff are informed and problems resolved.
- Assists with interlibrary loan activities. Searches the library catalogue and related resources for available copies, retrieves library materials, and copies/scans and transmits library materials as required.
- Retrieves, sorts, and distributes mail.
- Traces materials from prepared lists following search procedures.
- Processes gift items. Checks library holdings for duplicates, missing, or damaged volumes.
- Participates in special project work and performs other duties related to the qualifications and requirements of the job as assigned.
EXERCISING JUDGEMENT/IMPACT OF DECISIONS/CONSEQUENCE OF ERROR:
Works independently under broad direction for most duties. Work includes using judgement when interacting with library users. Errors could cause inconvenience and poor public relations with library users and the Allard School of Law. Circulation work is monitored to ensure adherence to library policies and procedures. Tasks are clearly defined and unusual problems are referred to the supervisor. Works independently during evening and weekend shifts.
