    Description

    The Department of Undergraduate Student Services in the Faculty of Science is currently seeking a Full-time Regular Manager .

    Reporting to the Manager, Undergraduate Science Centre,The Manager, Undergraduate Student Services will be responsible for providing strategic direction and operational oversight of advising and student events, including undergraduate student recruitment, in the Faculty of Science.

    The Manager will develop and operationalize a developmental advising service delivery model that prioritizes a holistic approach to student support.

    They will strategically support the full undergraduate science student experience from recruitment through to graduation.

    They will establish service levels, assess the effectiveness of student services, determine priorities, and address any deficiencies by making improvements.

    They will coordinate advising schedules ensuring that students have a variety of opportunities to solicit advice, leveraging both in-person and virtual service delivery.

    This position will be directly involved in resolving escalated student conflicts, advising on complex matters, making referrals to other advising units on campus and will support student communication and engagement.

    This position will be primarily on campus and require the ability to manage multiple deadlines and a high volume of work.

    The incumbent is responsible for organizing and responding to changing needs for student support services, including leadership for the staff.

    Key measures of success are accessible services to students, ensuring that key academic deadlines are met and supporting the University Calendar process and procedures.

    The Manager uses highly developed organizational, analytical and problem-solving skills to deal with multiple projects and priorities and effectively manage and initiate the resolution of complex issues.

    The demands of this position have a direct correlation to the high volume of work, frequently shifting priorities, multiple project deadlines, and high standard of accountability that exist in this environment.

    They will demonstrate strong communication, leadership and client service skills to build collaborative relationships within the Faculty and across the University campus.

    Full managerial discretion for direct reports, including recruitment, performance management, training and discipline up to and including termination.
    Responsible for leading the staff including the Senior Undergraduate Specialist (1), Program Coordinator and Student Advisors (6), Program Advising Assistant (1), and student staff

    Ensure that effective operations and a high level of quality assurance are always maintained, so that students consistently receive professional and fair treatment.

    Schedule and support tasks within the specialist advisor team to ensure timely support of undergraduate student needs.

    Promote a collaborative team environment through excellent role modeling and coaching, training, and assigning work fairly and in a way that ensures breadth of skill and development of the team.

    Manage program-level advising policies and procedures within the Faculty, ensuring they are developed in accordance with university processes, policies, and procedures.

    Identify professional development needs and skills priorities for the undergraduate student support team; continue personal development, learning and training; Provide support on complex advising matters, escalated issues, and system troubleshooting.

    Oversee the transfer credit process and coordinate with the Department Heads (or designate), the Associate Dean (Undergraduate) and Student and Enrollment Services to ensure databases are current.

    Effectively interpreting, communicating, and ensuring compliance with University and Faculty of Science regulations, policies and procedures when providing advice or assistance to faculty, staff, and current and prospective students.

    Support the Student Marketing and Events coordinator in the support and development of high quality, faculty-wide events and experiences for undergraduate students, such as Orientation, Open House, and the Convocation Celebration.

    Consult with faculty, staff and students on event related activities.
    Develop and maintain policies and procedures for undergraduate student communications.
    Manage the annual Academic Review (including Dean's List) and the Academic Turnaround Program for the Faculty of Science.

    Work closely with support staff from participating faculties and supports units to manage the program; Represent the Faculty of Science and actively participate in the Academic Review and ATP in meetings and working groups; A minimum of 5 years experience working in an academic environment; with specific experience in reporting and organization structures, regulations, policies and procedures.

    Previous supervisory experience in a union environment is a strong asset and preferred.
    Strong organizational and planning skills with the ability to establish priorities, manage multiple demands and meet deadlines.
    Well-developed decision-making, problem-solving, creative thinking, and planning skills.

    Demonstrated ability to identify and analyze business needs and participate in the development of goals, objectives, policies and procedures; Proficiency with MS Office Suite (PowerBI, PowerPoint, Excel, Word, SharePoint, Teams), and with specialized information systems used for post-secondary admissions, registration, and monitoring of student performance.

    This position is classified in the Management Career Band, Level 1 of the Management and Professional Staff Career Framework.
