Administration Manager
Classification:
Out of Scope, Temporary (until February 1st, 2024)
Supervisors:
CEO / Regional Director / Deputy Director
Responsible for the day to day financial and HR operations of the Lakeland
Library Region, including accounting, bookkeeping, payroll, property control,
and record keeping. The Administration Manager works directly with the
Library Director and the Finance Committee to prepare budget, implement
and operate efficient business procedures.
Duties and Responsibilities:
Financial Duties:
- Maintain a bookkeeping system for the General Fund and Building Fund, in accordance
- Maintain the general ledger, the accounts payable, and the accounts receivable.
- Issue charitable donations receipts.
- Prepare monthly statements of revenues and expenditures, transactions and cheques on
- Prepare year end and audit information.
- Prepare budget estimates for input from Library Director and Board.
- Process tax returns.
Human Resources Duties:
- Administer payroll according to the provisions of the Saskatchewan Labour Standards and
and sick leave, seniority, record of employment, group insurance, pension plans, Workers'
Compensation claims and other duties as required.
***- Maintain financial and personnel records, documents and the filing system at Lakeland
Headquarters in accordance with the regional policy and legislation on records retention
and established practice.
***- Prepare all documents for new employees, add them to pension and group insurance plans
as necessary.
***- Participate in hiring process when deemed necessary.
- Assist in dealing with all union issues.
Other Duties:
- Prepare board packages, record minutes, and keep board and executive records.
- Maintain uptodate lists of branch libraries and municipalities.
- Order office supplies and forms for HQ and Branches.
- Prepare annual branch costs sheets.
- Other duties as assigned.
Qualifications/Education:
- Certification in payroll and/or HR preferred.
- Familiarity with Easypay and Sage 50 software an asset.
- Good knowledge of accounting principles and practices.
- Good knowledge of office practice and procedures.
- Familiarity with labour standards and unionized workplaces.
- Familiarity government funding and administration.
- Excellent analytical skills.
- Excellent communication and interpersonal skills.
- Demonstrated ability to work independently and to contribute positively to the workplace

Full-time (37.5 hours/week) Monday to Friday
