Position


This position will work closely with the PI to coordinate a variety of funded research projects and be responsible for all facets of research from initiation to completion, including data management, data collection and data analysis.

The position will facilitate communication between team members, manage/coordinate the day-to-day operations of a variety of clinical projects and manage the overall milestones and study targets to ensure completion of the research projects.

The individual will have a strong understanding of research standards (e.g., REB requirements, AHS operational approvals), and will have strong interpersonal and organizational skills to lead and assist a wide range of research activities.

The Program Coordinator is responsible for administering all grant-related matters. The position is expected to be a resource for administrative policies and procedures for all staff, oversee the reporting and tracking of budgets, coordinate spending, manage accounts and find funding opportunities


Duties

Research activities and project management:

  • Conduct and coordinate highlevel, complex research projects and activities as directed by the PI
  • Monitors, assesses and manages project statuses on an ongoing basis to ensure project objectives are met in a timely and costefficient manner.
  • Oversee throughout the study, document review, screening, and enrollment tracking, site newsletters, data query resolution, protocol deviation tracking, site training documents.
  • Monitors progress of studies at research sites and oversees general operations of a multicenter translational research study.
  • Tracks milestones and timelines throughout the life cycle of research projects and develops and implements necessary changes to ensure milestones are met.
  • Produces newsletter to inform sites of study progress.
  • Ensures that all research processes and procedures are compliant with research protocol(s), funding agency requirements, and any Institutional Human Ethics or Health Committees.
  • Prepares data and materials to assist PI with grant and manuscript submissions.
  • Assists in training student researchers and research assistants on common and related projects.
  • Coordinate national and international teleconferences.
  • Provide training in neuropsychological assessments to research assistants.

Financial Administration:

  • Manages financial activities of the Unit at the University of Alberta, including the management of budget quotes for projects, services and activities.
  • Maintains appropriate documentation for all financial matters to ensure a positive financial position of the Unit.
  • Tracks invoices and provides summary explanation of all significant budget expenditures.
  • Performs monthly monitoring and review of revenues and revenue forecasts. Prepares expenditure forecasts; conducts analyses to ensure optimal use of resources; identifies variances and recommends appropriate budget adjustments.
  • Reviews travel and expense claims for eligibility, accuracy, and completeness, verifies supporting documents; once verified enters the claims
  • Provides audit information as required for both internal and external auditors

Grant Administration:

  • Proactively seeks out funding opportunities that could further the project, gathers information and presents potential options to the PI

Contract Management:

  • Works with the PI to set up agreements for services with external contractors Responsible for coordinating contract hires through SMS
  • Oversees details of contracts and identifies concerns to the PI

Reporting:

  • Prepares grant spending and deliverables reports; Prepares adhoc reports as requested by PI

Administrative:

  • Responsible for initial development and ongoing maintenance of recruitment, hiring, and retention processes for personnel
  • Onboard and train all personnel on all administrative and financial procedures
  • Acts as a resource for University policies and procedures for all staff Responsible for equipment purchasing

Supervision:

  • Supervises Lab personnel (Research assistant, software developer, volunteers)

Minimum Qualifications:


  • Minimum Bachelor's degree (Master's degree preferable) in a sciencerelated field.
  • Indepth knowledge of ICH-GCP regulatory requirements.
