Job Profile
The Receptionist/Administrative Assistant is the first point of contact for all calls and visitors to Prairie Machine and Parts. The Receptionist/Administrative Assistant is responsible for providing excellent customer service and general office administration and support.
Primary Responsibilities:
- Answer the telephone promptly and relay all calls and messages
- Greet visitors and direct them to the appropriate person
- Provide confidential administrative support
- Manage absent & vacation calendars for adherence to safety evacuation guidelines and direction of phone calls
- Perform general administrative duties such as preparing letters and other correspondence, data entry, filing, photocopying, proofreading, compiling and printing reports
- Coordination of board and training rooms for leadership meetings and other session as requested
- Coordinate organizational wide functions such as AGMs, Service Awards Christmas Parties, golf tournaments etc. Coordinate company vehicle bookings from employees requiring access to a vehicle for work purposes Prepare and book Main boardroom for Leadership and Management meetings
- Distribute mail to appropriate people
- Create account receivable invoices, matching to customer PO, and send to customers
- Record cash receipts
- Job closing in Epicor on a weekly basis
- Assist with company travel arrangements as requested
- Ensure ongoing maintenance and operation of all office equipment
- Order office supplies as required and requested
- Other duties as assigned

- Identify and record nonconformities and participate in their resolution
- Participate in continuous Improvement initiatives
- Recommend improvements and develop improvement plans in production methods,
- Maintain a wellorganized and clean facility as per PMP vision
- Maintain all equipment and tools per recommended procedures
- Maintain a healthy work environment and develop employees on a professional level
Qualifications:
- Grade 12 plus completion of an office administrative assistant program
