Duties and responsibilities:

Contract Development:
  • Consults with Legal to develop and maintain: Proposal template, Booking note template, COA template;
  • Support Sales Team in finalizing contracts, including tracking of status update of contracts and providing timelines to Sales Team;
  • Drafting of booking notes & amendments to contract of affreightment;
  • Maintain all contract archives: Customer contracts, v essel chartering contract;

Contract Maintenance (Periodic):


  • Provide summary of contract terms for each trade to Transportation Services;
  • Annual update of contracts with CPI adjustments to freight rates, demurrage, and despatch;
  • Input and update contract information in IMOS and a ssist with the issuance and response to Force Majeure declarations, handling cargo/vessel claims and customer notices;

Contract Maintenance (Ongoing):
  • Maintain contract summary file and inventory of terms for critical dates and notifications;
  • Supervise fuel adjustment calculations and notices sent to customers;
  • Maintain contractual notices regarding contract renewals and expiries;
  • Validate and sign off on all freight invoices and t rack and prepare claims for winter/ice delays as per contracts;

Customer Incidents:


  • Assist with the preparation of the following: Force Majeure declarations to or from customers, Cargo claims, Putting customers on notice, Communicating with Legal and Risk, as needed

Market Analysis and Tracking:

***- Track competitor's trades and trading patterns;

  • Track a set of KPI's to benchmark competitor's performance versus ours;
  • Monitor supply/demand balance on the Great Lakes and Coast;
  • Develop an understanding of trading patterns on Great Lakes to permit analysis of the customers of our competitors (Canadian and US carriers);
  • Create an executive summary of key activities and a ssist in preparation of quarterly detailed report to distribute to key internal stakeholders;

Administrational Duties:


  • Maintain an archive of important labor agreements and expiries among major customers;
  • Support in organization of commercial events such as Biweekly Commercial Team meetings, Quarterly Commercial Meetings (CQRs), Grunt Club, Marine Club, etc.;
  • Track and process claims for Seaway Incentive program;
  • Manage sporting tickets;
  • Assist with advertising, promotional, and sponsorship activities;
  • Manages memberships and invoices for professional and trade associations, as well as events;
  • Interface with IT regarding maintenance and upgrades to our major systems;
  • Lead the annual Customer survey for the team;
  • Coordinate the annual Revenue Risk Assessment and other commercial initiatives;
  • Track, manage, and procure the inventory of all promotional items and t rack vacation days for the Commercial Team.

Qualification and skills:


  • 13 years;
  • Bachelor's degree in Law/Administration/Business/ or related field;
  • Excellent knowledge of MS Office with an emphasis on PowerPoint, Word, and Excel;
  • Understanding of Contract Law (Charter Parties) and Maritime Law considered an asset;
  • Excellent communication skills (creating reports in PowerPoint and Excel) is a must;
  • Paralegal experience (an asset);
  • Strong organizational skills;
  • Excellent attention to detail and strong presentation skills;
  • Self motivated/learner;
  • High level of autonomy;
  • Sense of urgency;
  • Ability to take initiative and complete tasks with mínimal supervision;
  • Strong interpersonal skills;
  • Ethical and accountable;
  • Team player.
