We're seeking an Events Coordinator to join Jane's Marketing team.

Our attendance at industry events, conferences, and trade shows let us connect with our amazing customers globally and introduce Jane to those who haven't had the chance to meet us yet.

As Events Coordinator, you'll be responsible for organizing our participation in events, submitting marketing materials to conference partners, and booking and coordinating our attendance at trade shows across North America and UK.


We are looking for someone with strong organizational skills, attention to detail, adaptability, and the ability to collaborate with both internal and external stakeholders as you manage the workflow within our team.

Like all positions at Jane, this one is remote, but the

role requires a base in the Vancouver area and occasional work from our North Vancouver office for event preparation. We enable health practitioners like physiotherapists, mental health counsellors, chiropractors, and other allied health practitioners to run their practices in a digital-first way through features such as online booking, charting, scheduling, secure video, and billing along with an evolving library of features.

Tens of thousands of healthcare practices globally are now running on Jane.

We facilitated over over 10 million patient appointments last year, and Jane now the number one choice for Allied Healthcare practitioners across Canada.

What You'll Be Doing:


  • Plan and manage company attendance of trade shows, conferences, and events. We are planning to take part in at least 90 conferences and trade shows this year
  • Work closely with our Events team to to identify and coordinate conference sponsorships, in line with the Growth Team's goals and target markets
  • Select, negotiate, and manage contracts for event service providers (audio/visual, wifi, etc.)
  • Manage and track all shipments of supplies and event materials to and from events
  • Coordinate ongoing communication to key stakeholders regarding event schedule, details, requirements & travel
  • Review project briefs and enter requirements and timelines/deadlines into our editorial calendar
  • Followup with stakeholders for milestones and deadlines and ensure everything is carried out ontime and onbudget
  • Maintain a detailed events calendar, covering all booking details, deliverables, and work back schedules.
  • Manage all virtual and live trade showrelated administrative tasks: registrations, meetings, travel, accommodations, shipments
  • Maintain marketing collateral inventory: order collateral/giveaways/booths, and maintain vendor relationships
  • Assist with postevent communication debrief after each event as well as report any feedback, tracking attendance, budgets, opportunities, and successes
  • Work with team leads to arrange all travel and logistics for teams attending events, as needed
  • Research and recommend new event opportunities for Jane to attend or sponsor that align with the Growth Team's goals and target markets
