    Description

    PURPOSE

    The Administrative Assistant is responsible for supporting the Manager or the Director of a department or office in performing daily administrative and specialized support tasks efficiently to help the department achieve its business objectives.

    DUTIES AND RESPONSIBILITIES

    • General Clerical Duties and Administration
      Performs various administrative tasks such as photocopying, faxing, mail distribution, and maintaining stationery levels; coordinates work with other functions both internally and externally.
    • Documentation & Knowledge Management
      Creates, proofreads, and distributes business correspondence and maintains department documentation systems; updates websites and organizes data for easy access; prepares presentations and marketing materials.
    • Data & Platform Maintenance
      Inputs data using company systems, ensures data integrity, and maintains tracking systems specific to the function; may handle invoices, purchase orders, and financial reports.
    • Financial
      Codes invoices, prepares purchase orders, and assists with accounts payables; manages financial transactions and prepares expense reports for team members.
    • Travel Coordination and Time Management
      Arranges appointments, travel plans, and events to facilitate effective internal coordination.
    • Any other job-related duties or projects assigned.

    MINIMUM REQUIREMENTS
    Skills, Knowledge, Experience, and Education

    • Excellent command of English language, with attention to grammar and spelling
    • Intermediate to advanced MS Office skills
    • Solid knowledge of Adobe Acrobat
