About us:

The Engineering Student Outreach Office (ESOO) designs and delivers innovative pre-university outreach programs offered by the Faculty.

We act as the central unit for outreach activities promoting excitement around science, technology, engineering and math (STEM) education to a wide audience, from kindergarten through high school and beyond.


Your opportunity:


Reporting to the Vice Dean, Undergraduate and working under the general direction of the Associate Director, Engineering Student Outreach Office (ESOO), the Coordinator, Administration & Events works closely with the ESOO team to manage, organize and deliver key administrative tasks and special events.

Event Administration:

planning and coordinating events, including Go ENG Girls and other community and partner outreach events; organizing and coordinating program registration for all ESOO programs, including creating and maintaining databases, coordinating data entry, responding to program inquiries, and handling online payments; communicating frequently with other members of the ESOO team to ensure that registration does not exceed facility space and other resources; and preparing database reports for annual reports and funders.

Communications and marketing:

collaborating with the Communications Specialist, and other ESOO members to assist with the development and delivery of annual communication and marketing plans, especially as they relate to program registration and events.

Administrative support:
providing day-to-day administrative and customer relations support for the ESOO and ESRRO, as required.


Your responsibilities will include:


  • Building and strengthening relationships with stakeholders and partners of strategic importance
  • Conceptualizing, organizing and executing event activities
  • Overseeing the implementation of event plans and activities
  • Developing content for marketing and/or promotional materials
  • Providing some care to prevent physical or emotional injury or harm
  • Collaborating on cost estimates
  • Directing the activities of casual staff

Essential Qualifications:


  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three years of relevant experience with administration, experience conceptualizing and planning events independently, preferably in a University environment.
  • Experience with student services, volunteer coordination, online payment systems, and content management systems.
  • Demonstrated commitment to equity, diversity, inclusion and the promotion of a respectful and collegial learning and work environment.
  • Strong computer skills, including knowledge of database management and proficiency with Word, Excel, Access and Outlook
  • Welldeveloped interpersonal, customerservice, and communication (verbal and written) skills
  • Strong organizational, planning, time management, and problemsolving skills.
  • Ability to anticipate and balance the work required for different programs and events
  • Ability to work independently and as a team member;
  • Accuracy and attention to detail; ability to work effectively in a fastpaced, deadlinedriven environment
  • Ability to interact with all levels of academic and administrative staff
  • Demonstrated commitment to customer service.
