Assistant Academic Department Manager Role

The Assistant Academic Department Manager (AADM) provides support to the Chair and Academic Department Manager (ADM) in the strategic and operational management of an academic department with multiple functions including graduate and undergraduate programming, fee-for-service facilities, labs, and external partnerships.

The AADM has a crucial role in providing support in administrative, operational, and strategic matters, collaborating with academic leadership and central offices.

This role will support all critical functions, including but not limited to, financial management, human resources management, tenure and promotion, space and physical resource management, research administrative support, academic planning, advising and scheduling, and other strategic matters.

Reporting to the Academic Department Manager, the AADM provides analysis of the Department's needs related to planning, resourcing and proposal development using detailed data analytics to develop and drive the Department's strategy.

On a day-to-day basis, the AADM implements the policy decisions taken by the Department, Faculty, or University with respect to undergraduate and graduate students, and research administration, may represent the department/programs on university-wide committees, and provides leadership and direction to the staff who provide service to students in the undergraduate and graduate programs.

Core Accountabilities:

Operational management: Supports the Chair and ADM in implementing all infrastructure activities


Examples:

participate in crisis-response planning, sit on department committees and participate in the development/revision of policies/procedures, support program reviews, create promotional materials and update the department's website, support the creation/revision of by-laws, help book events and special meetings, manage calendars.

Strategic planning:Implementation of the department strategy, contributes to strategic thinking for development and implementation of new initiatives, and collects information to support the critical analysis of the department's needs relating to planning and resourcing.

Financial management: Supports the Academic Department Manager (ADM) to manage the financial resources (operating, research, facilities/services, research institutes and centres) of the department.

Human resources management: Support the Chair and ADM to ensure the annual Recruitment and Tenure and Promotion process is completed in a timely fashion, and assists the Chair with the collection and compilation of information for the annual Career Progress and Merit process for faculty.
