Bookkeeper/Administrative Assistant

Status:
Permanent

  • Full Time Weekdays Monday to Friday

Start Date:

Under Review based on education and experience.


Position Summary:

Reporting directly to the Executive Director and under the direction of the St.

John Bosco Children's Centre Board of Directors (SJBCC BD), the Bookkeeper/Administrative Assistant will be responsible for bookkeeping tasks involving accounts payable, receivable, and general ledger items.

The administrative assistant duties involve assisting the Executive Administrator in day-to-day administrative duties to ensure the smooth running and efficiency of the Centre.


Qualifications

  • Bachelor's degree or diploma in Accounting or Business Administration. An equivalent combination of education, training and experience will be considered.
  • Experience in a public sector or childcare setting would be an asset.
  • Must have accounting background. Experience with invoicing, payroll and accounts receivable.

Position Responsibilities

  • Must be proficient in QuickBooks
  • Handle all aspects of accounts payable (A/P) and accounts receivable (A/R)
  • Prepare and submit biweekly payroll using QuickBooks and Telepay, as well as monthly source deduction remittances and employer health tax; prepare and complete T4 tax returns for employees and record of employment as required, monitor vacation and sick time, review employee contracts
  • Handle all aspects of maintaining a general ledger (G/L) including bank reconciliations, funding reconciliations, credit card reconciliations, journal entries
  • Provide financial reports as requested by Board of Directors, prepare and gather information for annual audit.
  • Update website by downloading program plans, menus, newsletters, registration forms, brochures and event calendars.
  • Maintain social media accounts
  • Create and distribute Summer and Fall Registration brochures to all families
  • Coordinate PA Day and March Break sign up sheets to all families
  • Create staff schedules
  • Maintain staff logs such as time sheets and absences
  • Maintain Children's files and Emergency Binders
  • Complete monthly subsidy billing and attendance
  • General Administrative duties such as photocopying, filing and answering the phone

  • Adhere to Health and Safety practices as outlined in the Policy and Procedures Manual
  • Maintain sanitation throughout program hours of areas used by children
  • Collaborative Partnerships with Families and Community
  • Build and maintain relationships with families

  • Access and engage community resources
  • Collaborate with parents and other professionals to develop and implement inclusion practices

  • Participate in mandatory staff and team meetings
  • Participate in centre wide activities (Year End BBQ, etc)
  • Participate in evaluations and implements recommendations of goals as outlined by Executive Director/ Director
  • Follow licensing requirements
