Job description
We are currently seeking a highly organized and proactive Executive Assistant to support a Vice-President at our Head Office in Saint John, New Brunswick. This is a temporary, short term opportunity that offers meaningful exposure to senior leadership and the opportunity to contribute in a fast‑paced, professional environment.
In this position, you will interact regularly with senior leaders across the organization, external executives, and various levels of government. You will also collaborate closely with teams across all key business functions, acting as a trusted administrative and coordination partner.
- Provide comprehensive administrative support to the Vice-President, including day to day office administration
- Prepare, proofread, and format correspondence, presentations, reports, and other documents
- Coordinate communications activities, including planning, content development, and production of materials
- Manage calendars, meetings, and complex travel arrangements
- Coordinate and submit expense reports
- Maintain accurate records and support document and information management
- Work with Microsoft Excel to complete intermediate level spreadsheet calculations and data tracking
- Assist with the development of reports and basic data visualization
- Liaise with internal and external stakeholders as required
- Coordinate and support official events and meetings, both internal and external
- Provide coordination and communications project support with cross functional teams to ensure that actions are addressed according to timelines
Perform other related duties as required
Proven experience as an Executive Assistant or Senior Administrative Assistant supporting senior leadership
- Completion of an undergraduate degree in Business Administration or a related field is preferred with a demonstrated interest in continued career growth
- Strong proficiency with the Microsoft Office suite (Word, Excel, PowerPoint, Outlook, SharePoint)
- Excellent written and verbal communication skills
- High level of attention to detail and accuracy
- Ability to manage multiple priorities and work effectively in a fast‑paced environment
- Strong initiative, problem‑solving skills, and adaptability
- Proven ability to work independently with minimal direction
- Strong team player with a professional, proactive, and energetic approach
- Demonstrated ability to handle confidential and sensitive information with discretion
