Purpose


The Executive Assistant is responsible for performing various administration and liaison functions in a professional, confidential, timely, and accurate manner.

This role strongly contributes to the success of select departments through ensuring the departments run as effectively and efficiently as possible and allowing the executive to focus on the most critical business issues.


Key Areas of Accountability

  • Manage the schedule of the executive, including arranging appointments, meetings, and travel
  • Coordinate all aspects of executive's travel (flights, hotels, transfers, etc.)
  • Screen routine mail, telephone calls or requests, and plan priorities for response
  • Maintain filing and database systems, including contact lists, ensuring that all files and records are maintained in an up to date manner
  • Assist the executive in creating, proofing and distributing communications materials including presentations, newsletters and electronic media
  • Prepare and code expense reports for the executive
  • Prepare reports and presentations
  • Handle special requests from outside consultants and lawyers for GCRC information
  • Coordinate various team meetings and training sessions
  • Maintain signing authority and other banking documentation and act as a systems administrator for online banking systems
  • Provide support to select Directors as needed
  • Act as a liaison with suppliers, industry partners, and other external organization
  • Provide vacation relief and backup support to other Executive Assistants as required

Qualifications
Education / Certification / Licenses

  • Bachelor's degree preferred
Experience

  • Minimum 5 years' experience in a similar Executive Assistant role
  • Industry experience considered an asset

Skills

  • Excellent written and verbal communication skills
  • Superb time management and organizational skills
  • Advanced computer and MS office skills (MS Office Suite)
  • Ability to take minutes
  • Minimum typing speed of 65 WPM

Work Environment
Hybrid - 2 days work from office.


Compensation

  • The base salary offered for this role is $70,000 $77,000 per annum and can vary based on jobrelated expertise, qualifications, experience and internal equity.
