We are currently looking for an Information Management Coordinator to join our Capital Projects team in a temporary position.

Reporting to the Manager, Project Controls you will assist with establishing the document control process for the Capital Projects Group.


As an Information Management Coordinator, you will:
Assist in setting policies and procedures and creating systems to establish information management best practices across the projects.

Responsibilities include, but are not limited to, processing incoming and outgoing transmittals, managing the review and approval of controlled technical documents, updating the distribution matrix, updating document registers, and verifying controlled document numbers.


Your responsibilities will include:


  • Develop, document, and maintain standards, best practices and system usage procedures.
  • Coordinate the activities related to the Document Management Plan.
  • Develop, maintain and manage a change management system to record changes to official documents and confirm changes with key stakeholders.
  • Assist in determining document management policies to facilitate efficient, legal, and secure access to electronic content.
  • Update the document management plan as needed and ensure internal controls are in place and are functional.
  • Develop and deliver document control training.
  • Help develop and enforce documentation design, review, and storage guidelines.
  • Plan and conduct meetings and presentations related to document management.
  • Maintain the document management system for drawings and documents received.
  • Create and maintain document metadata based on district and project requirements.
  • Support the development and revision of project documents policies, procedures, forms, work instructions and manuals.
  • Receive and track incoming transmittals, ensure assigned contractor and supplier. documentation deliverables meet requirements and perform quality checks.
  • Generate accurate outgoing transmittals ensuring proper authorization, completion and compliance to requirements (e.g. RFIs, RFPs, contract acceptance, change orders, etc.).
  • Setup and administrate the document registers, supplier document registers and document distribution matrix.
  • In collaboration with stakeholders, identify document control inefficiencies and assist with process reengineering to remedy.
  • Provide training and support to third parties using the Project Management platform with submittals and forms.

  • Bachelor's degree or equivalent combination of education and 5+ years of experience in relevant field
  • Highly motivated selfstarter with the ability to work independently
  • Ability to prioritize in a fastpaced and deadline driven environment
  • Must be process and detailoriented and highly organized
  • Must have a high level of accountability
  • Must have excellent computer skills and experience with Microsoft Office Word, Excel and Adobe
  • Strong interpersonal, communication and customer service skills
  • Ability to guide and assist members of the project team in a constantly changing environment
  • Experience with document control software, process map software, FTP clients, ISO, and SharePoint would be a benefit
