The Role:


The Sales Administrator is responsible for providing coordination, support and execution of various customer interactions and appointments, centralized sales administration and providing administrative support to the Sales and Marketing Team.

This role is responsible for identifying and qualifying prospects in order to secure sales and initiates, monitors and expedites the home buying process in order to reach sales goals.

The Sales Administrator contributes to the premium customer experience offered by Caivan, meeting sales goals and building and promoting the Caivan brand.


Hours:

Thursday/Friday 9-5, Saturday/Sunday 11-6, Mondays 12-8

Tuesday/Wednesday off

Key Responsibilities:


  • Meet and greet clients, establish trust and rapport, provide informative sales presentation catering to customer's needs, values and concerns, overcome objections.
  • Guide customers through the steps and processes from the sale of a home to the start of construction.
  • Scheduling Time of Sale and Exterior Colour Selection appointments on time.
  • Exceeding revenue targets for Time of Sale upgrades.
  • Facilitate and coordinate any changes required to the appointment calendars.
  • Qualify lead generation, ensure FINTRAC compliant and preapproval of purchasers.
  • Ensuring deposits are managed in a timely manner and in line with the standard process.
  • Opening and closing of Sales Centre, Model Homes and Design Studio.
  • Complete Deal Flow Execution by preparing of Agreements of Purchase and Sale and associated Schedules.
  • Data input and execution of CRM/Sales process.
  • Order and maintain Sales Centre and Design Studio supplies, welcome and closing gifts and handout material inventory.
  • Ensure the sales office, model homes and design studio are neat, clean, and welllit at all times. Walk sales office, model homes and design studio regularly and prepare a written punch list on a weekly basis for the builder in order to maintain the model in 100% condition.
  • Ensure that all collateral and supplies are well stocked and consistent with company specifications
  • Other duties within the scope, spirit and purpose of the job, as requested by management
  • Ensure customers complete the Guest Registry form and include tracking of information.
  • Monitor all onsite signage as needed (i.e. home site signs, inventory signs, open house signs, etc.).
  • Maintaining lot files and document management.
  • Prepare and circulate daily and weekly reports as necessary (weekly Sales Summary).
  • Update Lot Availability sheet and Pricelists when homes are sold, or new lots are released.
  • Attend weekly sales meetings as needed with Sales & Marketing providing feedback and updates.
  • Perform duties as assigned.

You will bring:


  • Curiosity in real estate and design.
  • Postsecondary education with a focus on Sales, Marketing or related field.
  • 2+ years of experience in a similar role within a residential home builder environment.
  • Ability to multitask and handle multiple accounts and projects at once
  • Strong communication skills to enhance our customer's experience
  • Meticulous attention to detail, innovative thinking, and problemsolving skills
  • Ability to work independently with mínimal supervision and effectively as part of a team.
  • Must be highly motivated with a demonstrated track record of providing outstanding customer service.
  • Valid driver's license with access to vehicle and willingness to travel
  • Must have steeltoe footwear
  • Understanding of time management to ensure daily tasks completed on time.
  • Organized with high attention to detail.
  • Evening & Weekend work required.
  • Proficiency in MS Office Suite.
