About the Position:

This is an entry level Property Administrator role that reports to Property Manager/Regional Property Manager. The role is primarily responsible for managing daily and periodic administrative functions for the residential building to
enable the Property Manager to achieve its business goals and objectives in providing uninterrupted
property management services to Residents.


Key Responsibilities:


  • Ensure a superior level of cooperation, service and support is provided to residents, thereby ensuring that Timbercreek is a landlord of choice
  • Maintain good residentlandlord relations
  • Serve as primary point of contact addressing complex tenant issues and inquiries including collections, rent abatements, tenancy terms and conditions, tenant improvements, etc.; contribute to the tenant retention and satisfaction, and sustain optimum occupancy rate
  • Work closely with Accounts Receivable and the Property Manager to assist with tenant accounts and initiate collection activities, to ensure rents are paid on a timely basis; maintain tenant deposits
  • Enter tenant payments/cash receipts into Yardi Voyager timely and with accuracy
  • Ensure the distribution of documentation and correspondences for building maintenance/repairs, HVAC, custodial services, parking records, etc.
  • Maintain all resident files and keep management current on resident status; offer constructive suggestions to manager regarding improvements that can be made to improve resident relations, building maintenance or administrative procedures
  • Update Yardi timely with all tenant changes such as notice to vacate, skips, rentable item addons, etc.
  • Ensure timely entry of Purchase Orders
  • Monitor tenant recurring charge schedules including electronic payment records
  • Reconcile tenant ledgers, along with rent roll and tenant deposits for portfolio properties
  • Perform administration for designated area of residential units; maintain Timbercreek tenant files by uploading all tenant changes in Yardi
  • Prepare paperwork for designated area such as friendly reminder Notice of Rent Increase, and process lease renewals or vacating notices; issue and serve all legal notices in relation to nonpayment of rent and other related issues under the Residential Tenancies Act, and followsup until matter is resolved
  • Adhere to company administration procedures

Job Requirements:


Education & Experience:


  • Completion of High School or general education degree (GED)
  • 1 plus years of experience in previous Administrative role
  • Strong computer skills including Microsoft Office (Excel, Word) and Yardi would be an asset
  • Experience in a customer service role would be an asset
  • Ability to take initiative and to work independently as well as on a team
  • Ability to allocate one's time effectively, work well under pressure and manage tight deadlines
  • Handle multiple demands and competing priorities while delivering successful results
  • Flexible and adaptable to constantly changing needs within the organization
