SCOPE

Reporting to the Director Hospitality, the incumbent is responsible for consultation, strategic planning, execution of events and special projects and overseeing the coordination of all activities therein.

These projects may be related to Hospitality Concordia's core business, or they may be one-off initiatives that help the department explore new opportunities or expand its activities.

They collaborate with other members of the management team in Hospitality Concordia in the development and continued growth of the departmental portfolio in alignment with the Institute's strategic priorities.

They will also work with internal departments (ex. Facilities management and IITS) and outside vendors or clients, as required.


PRIMARY RESPONSIBILITIES

  • Participate in the development and implementation of the Departmental Strategic Plan in collaboration with the Management team.
  • Manage planning and implementation of special events taking place on and off campus. Responsible for the planning, staffing, analysis and evaluation of such events.
  • Manage special projects from conception to delivery in collaboration with the management team and external stakeholders, ensuring quality standards and deadlines are met.
  • Management of dossiers: handles contracts/negotiations for clients; ensures that Concordia terms and conditions are addressed; ensures that all necessary waivers to perform event and project related activities are completed; makes certain that all financial related documents have been dealt with. Manage budgets and centralize all related financial records.
  • Contribute to postevent and project evaluations and debriefs in order to determine how future events and projects could be improved.
  • Develop positive working relationships with internal departments in order to lead the changes necessary to expand Hospitality Concordia's services on campus. Work with any entity to ensure the smooth implementation of and ensure the full collaboration of all actors involved.
  • Provide leadership ensuring that staff competencies and development remain current to fulfill the strategic goals; ensure efficiency, professional standards and excellence in customer service delivery.

REQUIREMENTS

  • Bachelor's Degree and a minimum of 24 years of experience in a related field.
  • Experience in project management, event planning, and fostering relationships with prospective clients. Excellent interpersonal, communication and negotiation skills, along with proven leadership abilities
  • Excellent organizational and planning skills with the ability to multitask between multiple simultaneous projects, establish priorities and meet deadlines.
  • Good knowledge (Level 4) of spoken and written English and French in order to communicate effectively with external contacts.
  • Advanced knowledge of Outlook, Word, Excel and PowerPoint.
  • Advanced knowledge of event management systems, or related software.
  • Demonstrated analytical skills, with process improvement and automation experience
  • Ability to work with mínimal supervision autonomously and also as part of a team.
  • Ability to work outside normal working hours during peak periods.
  • Knowledge of university environment and experience working with corporate environments and corporate clients are assets.
  • Experience working with clients in a VIP setting is desirable.


Concordia University is an English-language institution of higher learning at which the primary language of instruction and research is English.

Since this position supports academic and administrative functions of the university, proficiency in English and French, as indicated, is required.
