Part time Scheduling Clerk
The anticipated start time for the remainder of the 2023/2024 school year is June 1, 2024

This is a 43 week part time position working 15 hours per week from September to the end of
June every school year with time off during Christmas and Spring Breaks.

The Scheduling Clerk will assist with scheduling and timekeeping duties including allocating
and calling in substitute staff, filling in vacancies, maintaining subs records.

Previous experience with Google suite including Gmail, Student information software,
Absence tracker /Payworks would be required.

time management skills, detail oriented, accurate and able to follow up, likes to plan ahead but

JOB SUMMARY:

The Scheduling Clerk is part of a fast-paced environment and is responsible for performing
scheduling and timekeeping duties, handling the staffing requests for an assigned area by
allocating and calling in substitute staff using an electronic system to fill vacancies, leaves of
absence and sick leaves. This position requires the ability to see the "big picture" and is able to
anticipate implications of various decisions. Must work with a high level of professionalism and
confidentiality in their interactions with staff.


Key Duties and Responsibilities;

Scheduling Clerk

  • Perform scheduling and timekeeping responsibilities by utilizing various tools and
  • Maintain a registry of available substitutes, receiving notification of requirement from
teachers and booking appropriate substitutes as needed.

  • Call in staff according to established procedures, contractual requirements, availability
and determined priority, notifying supervisor or designate of vacancies filled and/or any
difficulties and posting designated hours.

  • Equip substitute staff with required equipment, access, work and duty plans, etc. when
staff arrive at the school.

  • Maintain a variety of records on regular and relief staff such as names, addresses,
telephone numbers, availability for work, statutory holidays and leave taken by methods
such as receiving approved records after processing, updating a computerized database
utilizing word processing or spreadsheet software and filing hard copies as appropriate.

  • Maintain records of substitute requests, individual substitute teacher reports, for year
end reporting to Manitoba Education.

  • Ensure compliance with regulations in scheduling and maintain accurate records of staff
schedules.

  • Assist with other administrative tasks, such as data entry and filing.
  • Perform other related duties as required.

Educational /Academic Requirements:


  • Completion of Grade 12 or equivalent;
  • Training and/or experience in a computerized office environment utilizing advanced
computer systems with proficiency in Microsoft Office;, Google Suite, including Gmail;
Student Information Software; Absence Tracker/Payworks


Additional Qualifications/Skills:


  • Minimum of three years experience in administrative position preferably in an
educational setting.

  • High level of computer skills and ability to continue with ongoing training with a variety of

  • Ability to interact effectively and positively with administration, staff, and the public and
