Summary:


Essential Duties & Responsibilities:


HR Operations Support

  • Manages employee and other HRrelated files and records, both electronic and hard copy
  • Collects new hire payroll paperwork to ensure complete, accurate files and setup for payroll/ERP, benefits, and other systems. Enters and establishes electronic records and systems setups for all new hires.
  • Audits on a weekly and monthly basis employee files and records and makes changes to ensure alignment of HR records between payroll, benefits, Clearway's ERP solution and other relevant systems or records.
  • Processes employee onboarding and offboarding files, payroll changes (including calculations of final entitlements) and other transactions, including appropriate levels of supporting documentation.
  • Responds to thirdparty inquiries on such topics as employment verification (including preparation of employment confirmation letters), Service Canada Record of Employment, Statistics Canada jobs reporting and former employees seeking assistance.
  • Drafts, arranges reviews as required and processes organizational announcements and distribution of employeerelated communications.
  • Coordinates and supports annual employeerelated events including Take Your Kids to Work Day, recognition events and other functions.

HRIS Support

  • Acts as the lead for ongoing maintenance and information updates in BambooHR, including the addition and removal of employees and approval employeegenerated information updates (including updates to other Clearway systems and processes)
  • Responds to user inquiries about BambooHR systems and employee selfservice support, including issues related to navigation and processes, information updates, mobile app downloads and setup
  • Creates and maintains standard reporting templates and dashboards for departmental and crossfunctional reporting needs.
  • Identifies new opportunities to enhance reporting capabilities to generate data insights and standardize information reporting
  • Leverages system reporting capabilities to support adhoc reporting requests

Group Benefits and Retirement Savings Program Support

  • Manages Clearway's benefits and retirement savings programs, including onboarding and offboarding of eligible employees and acting as the initial point of contact for member inquiries and assistance.
  • Reconciles monthly group benefits invoices to ensure accuracy prior to submission for approval and payment. Organizes and reconciles other benefitsrelated submissions such as costplus programs.
  • Meets with newly eligible plan members to review entitlements and user access.
  • Creates and manages benefitsrelated communications to drive program awareness and utilization. Monitors plan utilization.
  • Schedules with retirement savings providers annual meetings for members to review portfolios and plan updates.
  • Assembles data and inputs to support annual plan renewals, reviews of annual retirement savings funds lineups, and other plan sponsor activities.
  • Prepares and managing employee communications and other events centered around employee wellness, including Employee and Family Assistance Program, topic seminars and learning sessions, mental health resources and other resources.

Requirements:


  • Post-Secondary Education in Human Resources or Industrial Relations
  • Knowledge and use of BambooHR or similar cloudbased HRIS systems and reporting tools is an asset
  • Exposure to employee benefits, retirement savings and other employee welfarerelated programs is considered an asset
  • Knowledge and use of Microsoft Word, Excel, PowerPoint and Adobe. Additional skills in graphic design and social media platforms are considered an asset.
  • Proficient in the English language (written and oral) with strong interpersonal and communication skills
  • Strong planning and organizational skills with the ability to multitask and prioritize competing demands
