Role Overview:

We are seeking a highly adaptable and motivated Administrative Assistant/Receptionist/Cleaning Staff to join our team at CA Instruments.

As the Administrative Assistant/Receptionist/Cleaning Staff, you will play a crucial role in supporting our daily operations, ensuring the smooth functioning of administrative tasks, providing excellent front desk services, and also taking on cleaning responsibilities to maintain a clean and organized workplace.


Responsibilities (include but are not limited to):

  • Greet and welcome visitors with a friendly and professional demeanor, ensuring a positive first impression of the company.
  • Manage the reception area, including answering incoming calls and directing them appropriately.
  • Assist with scheduling appointments, meetings, and events, coordinating with team members and external partners as needed.
  • Maintain and update records, databases, and filing systems to ensure accuracy and efficiency.
  • Help with bookkeeping tasks, including expense tracking, invoicing, and accounts payable/receivable.
  • Support human resources functions such as recruitment coordination, onboarding paperwork, and maintaining employee records.
  • Assist with travel arrangements and accommodations for team members.
  • Aid in preparing reports, presentations, and documentation for internal and external use.
  • Contribute to the coordination of marketing efforts and assist with social media management.
  • Undertake general administrative tasks to ensure the smooth running of daytoday operations.
  • Perform cleaning duties to maintain a tidy and sanitized office environment, including dusting, sweeping, mopping, and maintaining restrooms.

Requirements:


  • Proven experience as an administrative assistant, receptionist, or in a similar role.
  • Ability to adapt and multitask, comfortably switching between various responsibilities.
  • Strong organizational and time management skills with excellent attention to detail.
  • Proficiency in using office software such as Microsoft Office (Word, Excel, PowerPoint) and other relevant tools.
  • Excellent written and verbal communication skills.
  • Positive attitude, selfmotivated, and a team player.
  • Familiarity with bookkeeping or basic accounting tasks is a plus.
  • Previous experience in cleaning or maintenance is desirable.
