Our services include medical and dental care, health promotion, illness prevention and outreach programming.

Our expertise and resources are focused on working with those who experience health inequities and barriers to accessing health services.

Collaborating as an interdisciplinary team, we provide services and supports that address the social determinants of health including factors and barriers such as poverty, inadequate housing, food insecurity, substance use, language and culture, as well as stigma and social exclusion.

The Health Centre works with the most complex client population served by primary health care professionals within Waterloo Region.

Our highly skilled and diverse team works from a strength-based approach with individual clients as well as the broader community.

We collaborate with many partner agencies and organizations within Waterloo Region.

Our team consists of Family Physicians, Nurse Practitioners, Registered Nurses, Social Workers, Dietitians, Chiropodists, Pharmacists, Psychiatrists, Health Promoters, Community Health Workers, Administrative Staff and Volunteers.

The Health Centre is currently recruiting for the following position:

ACCOUNTING COORDINATOR

Fixed-Term Contract December 2023 to December 2024 (possibility of extension) 0.4 FTE

Position Summary


As a member of the Finance Team, the Part-time Accounting Coordinator performs a variety of accounting functions as assigned, including recording transactions, journal entries, reconciliations and reporting.


Specific Responsibilities

1. Revenue Management
a.

Process and maintain records of all revenue received, such as Ministry of Health, Ontario Health Association, funding agencies and partners, donations and accounts receivable.

b. Prepare reports and invoices for funders, as assigned.

c. Prepare and record bank deposits.


2. Financial Accounting
a.

Process accounts payable and expense reports:
ensure coding is consistent with budget and follow up on discrepancies with other staff as required.

b. Process cheques and coordinate with CEO and other signing officers.

c. Prepare invoices.

d. Process accounts receivable.

e. Prepare AR statements, aged receivable reports and maintain allowance for doubtful accounts.

f. Prepared adjustments and journal entries as required.

g. Perform account reconciliations, as assigned.

h. Maintain and reconcile general petty cash. Reconcile staff program floats and petty cash.

i. Maintain Chart of Accounts.


3. Reporting
a. Prepare internal financial statements, balance sheets and other reports, as assigned.

b. Prepare working papers for the annual audit.

c. Prepare statutory reports such as HST Rebate and others as required.


4. Payroll
a.

Act as back up for HR & Finance Coordinator when required to prepare payroll submission as directed by the Finance Manager, including:


  • Compile time sheets and review for completeness and accuracy. Enter all Payroll data (earnings and deductions) and attendance data for salaried and hourly employees.
  • Prepare electronic payroll file for approval.
  • Process data to the external payroll provider.
  • Download payroll journal entry and import to General Ledger.

5. Additional Responsibilities
a. Maintain financial files and records.

b. Make recommendations to management for the development and/or revision of policies and procedures.

c.

As a Student Supervisor, provide orientation, ongoing support, coaching and monitoring in order to meet the requirements of the Health Centre and of the educational institution.

d.

As a Volunteer Supervisor, provide support, training, monitoring and on-going communication as needed for the volunteer to successfully fulfill their position description.

e.

Work during both regular and extended hours (evenings/weekends) and in locations within Kitchener to be determined by the Health Centre.

f.

Participate in team and staff meetings and other meetings and committee work as appropriate to support both service delivery and organizational goals.

g. Collect, analyze and report on data and relevant information and participate in research as determined by the Health Centre.

h. Contribute to the Health Centre's practices of hiring, orienting and training of staff.

i. Work individually and collaboratively in the development and implementation of quality improvement initiatives and activities.

j. Work in a manner that preserves privacy and confidentiality.

k. Work in a manner that ensures client safety and minimizes risk to clients, volunteers and the Health Centre.

l. Work in a manner consistent with the Health Centre's Vision, Mission and Guiding Principles.
