The Director of Data Analytics and Health Information Management and the Director of Information Technology is currently seeking a full-time Administrative Assistant.

The purpose of the position is to provide administrative support services to the Data Analytics and Health Information Management and Information Technology departments.


Key Accountabilities:


  • Input time/attendance information; liaising with Financial Services with reconciling absences; monitoring attendance per hospital policy; preparation of documents for & coordinating of job competitions; completing status change documentation; typing
  • Supporting the budget process by data gathering (i.e. overtime stats, etc.); data entry; invoicing, monitoring & identifying variances of departmental budget, preparing and processing completed travel/expense claims. Prepare request to purchase orders for supplies and equipment, arrange tuition & accommodation etc. for Department; maintain office supply inventory for the Department.
  • Take and distribute minutes of assigned committees/meetings; composing, typing and distributing agenda, meeting coordination arranging attendees, including electronic invitations; room booking.
  • Coordinating schedule of Department Heads using judgment to set up appointments; determining urgency and nature of appointments; attaching pertinent information.

Requirements/Qualifications:


  • Postsecondary education in an Office Administration program preferred, or equivalent work experience
  • Three to five years of recent and related administrative experience in a fastpaced office environment, preferably in a hospital setting
  • Experience with advanced budgetary practices and process
  • Proven advanced level computer software experience including proficiency in Microsoft suite of products and database software
  • Experience working with and maintaining confidential information
  • Demonstrated analytical and numeracy skills
  • Proven ability to take and process minutes of assigned committees/meetings and associated responsibilities
  • Results oriented work ethic to work independently and undertake tasks needed to accomplish work objectives and deliver quality, consistent and timely results
  • Demonstrated leadership, conflict resolution, interpersonal and organizational skills
  • Proven written and verbal communication skills
  • Proven ability to adapt readily to change
  • Models and promotes core ethical practice, Waypoint Values (Caring, Respect, Accountability, Innovation), and reflects an optimistic and positive attitude
  • Preference for proficiency in French/English language skills
