Overview / Responsibilities:
Wood is seeking a
Key Responsibilities
- Providing administrative support to project teams and various departments within the office.
- Performing advanced level word formatting and editing of project documents (specifications, reports, manuals, procedures, instructions, forms, letters, memos, and minutes of meetings).
- Preparing spreadsheets, maintaining databases and coordinating key monthly report and meeting reminders.
- Completing project and office document management including scanning, distribution, filing and archiving.
- Providing general office administrative support including front desk/reception coverage when needed, receiving and directing visitors, operating the switchboard, mail distribution, and stocking supplies.
- Scheduling travel arrangements when required.
- Coordinating and complying with requirements of Project Information Management, Quality Management System, Project Services, and Document Management Group.
Skills / Qualifications:
- Project administration experience in an engineering/construction environment would be an asset.
- Graduate of an Administration Assistant program would be an asset.
- Advanced word processing skills and experience with related software (Word, Excel, Adobe Acrobat x Pro, Outlook, Access, SharePoint, and Visio) is required.
- Selfstarter and able to work independently to focus on details, complete tasks and meet deadlines.
- Excellent organizational skills, ability to multitask and adapt to constant interruptions.
- Excellent written and verbal communication skills is required.
- Ability to work efficiently in a professional manner with both internal and external clients.
- Knowledge of project services reporting and document types would be an asset.
- Authorization to work lawfully in Canada without sponsorship from Wood is required.
