    ROLE: Activity Coordinator

    PROGRAM: ILSC Toronto Junior Camp

    REPORTS TO: ILSC Toronto Junior Camp Program Manager

    CONTRACT DURATION: April -May , (part-time employment) & June to August , (full-time employment)

    DURATION OF JUNIOR CAMP PROGRAM: weeks – June to August ,

    The Activity Coordinator is responsible for the successful delivery of the activities' component of the ILSC Toronto Junior Camp, ensuring that the activities and field trips are engaging, well-organized, and inclusive, and that the welfare, safety and discipline of the students are paramount. This includes overall responsibility for the planning, logistics and successful delivery of all ILSC Toronto Junior Camp's off-campus field trips. The role requires an experienced leader, capable of managing a team of + staff members in providing a safe and fun summer language program and a memorable Canadian cultural experience.

    This is a key management role and a full-time, fixed-term position. Due to the nature of the work, your hours may vary and may be irregular.

    Work Schedule and Timeline

    The position will begin as a part-time position on April , , and compensation will be on an hourly basis at a rate of $-$/ hour. The Activity Coordinator position will be eligible for a project completion bonus, the details, and conditions of which will be communicated during the hiring process.

    The position will become a full-time salaried position from June , -August , . Your weekly work schedule will consist of six days of work per week, with full day off per week. The weekly salary will be $/week.

    Job Duties and Responsibilities

    The job duties of this position include, but are not limited to:

    Program Planning

    April - April , (Part-time)

  • Schedule and confirm all bookings for excursions with vendors, transport companies and operators, including obtaining quotes, creating/updating reservations and managing the budgeting and invoicing of these bookings
  • Determining any required supplies or materials (sports equipment, craft ) and provide Junior Camp Program Manager with an itemized list as well as associated costs
  • Staff Recruitment and Training

    April -May , (Part-time)

  • In collaboration with the Junior Camp Program Manager, participate in the interviewing and hiring of the activity leaders
  • June -June , (Full-time)

  • In collaboration with the Junior Camp Program Manager, assist in leading the pre-camp staff training for Activity leaders, ensuring that all team members have a clear understanding of the Junior Camp summer program, their roles, and responsibilities, and that all staffing schedules have been clearly outlined and shared with staff
  • Program Inventory and Set Up

  • Assist in setting up the Junior Camp program in advance of students' arrival, including unpacking, distribution, and storage of program materials
  • Assist Junior Camp Program Manager in planning the training program for Junior Camp Activity Leaders
  • Ensure sufficient Junior Camp signage is displayed appropriately.
  • Complete a full inventory of program materials such as T-shirts for students and staff, SIM cards if required, and monitor usage, reporting any missing or damaged equipment to the Junior Camp Program Manager
  • Program Management

    June -August ,

  • In collaboration with the Junior Camp Program Manager, manage and enforce policies, procedures, and support systems for the Junior Camp
  • In collaboration with the Junior Camp Program Manager, participate in weekly meetings with Group Leaders (chaperones accompanying a group of students employed by travel agency)
  • Set up and update the Junior Camp noticeboard daily, ensuring the weekly and daily plan of activities is displayed in an exciting and attractive way
  • Liaise with the Junior Camp Program Manager each day regarding planned activities, use of additional facilities and issues of safety, welfare, and discipline.
  • Activities Program

  • Manage and support the activity leadership team, motivating and leading by example
  • Oversee the Activities Program and adapt as appropriate, in consultation with the Junior Camp Program Manager
  • Assign activity leaders and inform staff of all activities, supervision arrangements and excursions, ensuring appropriate staffing ratios are always respected
  • Promote and build enthusiasm for programmed activities
  • Monitor expenditures on the Activities Program, providing full receipts and detailed records of expenditures of all Junior Camp activities, ensuring that all expenses are approved by the Junior Camp Manager
  • Confirm with ILSC campus staff, the use of additional facilities, following approval from the Junior Camp Manager
  • Staff Support

  • Assist the Junior Camp Manager in monitoring staff working hours and days off and in creating and distributing staffing schedules
  • Co-ordinate with the Junior Camp Program Manager and staff on arrival and departure duties to ensure the safe arrival/departure of all students
  • In collaboration with the Junior Camp Manager, assist in leading daily staff meetings during the program, to review the day's activities and to plan for the following day
  • Participate in staff disciplinary matters with the Junior Camp Program Manager and the Director of Junior Programs, Canada
  • Student Supervision

  • Participate in leading the student orientation on the students first day (typically on Monday mornings), introducing the staff and explaining the academic, social and welfare responsibilities of each Junior Camp staff member
  • Liaise with the Junior Camp Program Manager prior to the morning assembly and participate as appropriate
  • Ensure the attendance of all students throughout the activities program
  • Schedule weekly meetings with students who did not travel as part of a group, to gauge satisfaction and provide support as needed
  • Distribute, collect, and summarize student feedback forms
  • In collaboration with the Junior Camp Program Manager, oversee student and staff welfare and disciplinary issues during the program including student illness and employment issues
  • Take responsibility for the supervision of on-site and off-site activities ensuring health and safety measures are respected

  • Participate in meetings with the Junior Camp Program Manager, and Director of Junior Programs when required
  • Assist with staff evaluations at the end of the program

  • Assist Junior Camp Program Manager in packing up all program materials and resources at the end of the program and report any missing or damaged materials
  • In collaboration with the Junior Camp Program Manager, conduct post-program damage inventory with school authorities
  • Skills and Attributes

    Essential

  • Experience managing a team in either an educational setting, camp, or recreational environment
  • Experience with working with children and teenagers
  • Experience with program management
  • Strong organizational and communication skills
  • Desirable

  • Background in Leisure Studies, Sports Management or Event Planning
  • Advanced CPR / First Aid / Lifeguard certification
  • Instructor experience , sports, drama, dance, arts, and crafts etc.
  • Bilingualism: English
